Monitor and manage the Estates inbox, responding to queries from landlords and agents and escalating matters where required, particularly in the absence of the Senior Estates Manager. Process and log all property-related post received at the Weymouth Support Centre. Attend fortnightly conference calls with Property Leasing and Estates and New Look’s Property Solicitors, updating schedules and trackers accordingly. Stakeholder & Relationship Management Establish and maintain strong working relationships with Landlords, Managing Agents, Solicitors, and key external advisors. Assist in providing information and support to New Look’s external property advisors and consultants. Liaise with Retail teams to ensure stores are fully briefed ahead of inspections and property-related activity. Lease, Legal & Post-Completion Administration Support the coordination and completion of legal documentation, including obtaining internal signatories, returning documents, and maintaining accurate trackers. Following lease completion, ensure all documentation is received, scanned, and uploaded to SDS. Maintain the Turnover Certificate tracker, ensuring changes to lease terms or landlords are accurately captured. Chase outstanding lease documentation and legal paperwork as required. Ensure BNPPRE, GL Hearn, and Finance are updated on changes to lease terms, rent, service charge, and insurance. Financial Processing & Cost Control Raise and process Purchase Orders and invoices via SAP. Raise One Time Payment requests and complete Vendor Registration forms for new suppliers. Maintain and update the Fees Tracker, Purchase Order Tracker, and Estates schedules to ensure spend remains within budget. Check fees prior to raising POs and actively chase outstanding or overdue fees. Support the payment approval process in the absence of the Estates Junior Manager. Rates, SDLT & Audit Support Support Retail and GL Hearn in lodging MCC Appeals and maintain an accurate MCC tracker. Coordinate the receipt, signatory, and tracking of BID Ballots, updating GL Hearn accordingly. Maintain the SDLT and Float Trackers, arranging fund transfers when required. Coordinate monthly and annual property portfolio audits, ensuring accurate and timely data is provided. Inspections & Property Management Arrange third-party property, rating, and Schedule of Condition inspections, ensuring stores are fully informed prior to inspections. WHO YOU ARE: Excellent written and verbal communication skills. Strong organisational and time management skills. Confidence to ask appropriate questions within a multi-disciplinary team. Excellent telephone manner. Ability to work independently, using initiative while recognising when escalation is required. Quick learner with a proactive and positive attitude. Strong team player, supportive of both internal and external stakeholders. Strong PC skills, including spreadsheets and computerised data storage systems. Demonstrated ability to prioritise workload and manage competing deadlines. Experience working in a fast-paced environment.
