Based within the depot, the Hire Desk Controller plays a critical role at the heart of our operations, sitting on the frontline of sales and customer service. Relationship building is fundamental to success in this role, as you will coordinate the entire hire process from order placement through to delivery and collection. You will work closely with all areas of the depot to ensure customer requirements are met efficiently and that service standards remain consistently high. On a day-to-day basis, you will act as the central point of contact for customers and internal teams, managing incoming hire enquiries, processing orders accurately, and ensuring all hire documentation is completed correctly. You will coordinate delivery and collection schedules, monitor equipment availability, and proactively resolve any issues that could impact service levels. You will regularly liaise with the transport team to confirm logistics, with the stock and yard teams to check equipment readiness, and with engineers to ensure equipment is serviced, compliant and fit for hire. You will update internal systems in real time, maintaining accurate records of hire contracts, pricing, extensions, off-hires and returns. You will build strong relationships with customers by understanding their requirements, providing clear and professional communication, and offering suitable solutions to meet their needs. This includes advising on the most appropriate equipment, identifying opportunities to add value, and ensuring a seamless customer experience throughout the hire lifecycle. You will also support the depots commercial performance by maximising utilisation of equipment, identifying opportunities to upsell or cross-sell, and ensuring pricing and margins are protected in line with company guidelines. In addition, you will handle queries, complaints and service issues efficiently and professionally, escalating where required and ensuring timely resolution. You will work closely with colleagues to continuously improve processes, service standards and customer satisfaction, contributing positively to the overall performance and culture of the depot.
