Team Administrator – Community Heart Failure Service
An opportunity has arisen for a Team Administrator to join the Community Heart Failure Service. The role will involve providing comprehensive, efficient secretarial and administrative support to the clinical staff and Heart Failure Nurse Specialists.
Responsibilities
* Collect and accurately input patient data into clinic databases.
* Use patient administration systems, including SystmOne, to maintain accurate electronic patient records.
* Handle telephone enquiries, taking accurate information and providing assistance.
* Take minutes at local team meetings and transcribe them.
* Support equipment and supplies ordering, including clinical equipment via the Oracle system.
* Create, format, and check correspondence for clarity and visual appeal using Microsoft Office.
* Book and manage clinics for new referrals and follow‑up appointments.
* Distribute post and documents, assisting with general office duties such as photocopying.
* Serve as the first point of contact, dealing with patients, families, and visitors in a friendly and professional manner.
* Work unsupervised, prioritising workload and ensuring continuity of service.
* Assist with general administrative duties as required to support the specialist Heart Failure team.
* Report and resolve problems, including damaged or faulty equipment.
* Maintain and reorder stationery and office supplies.
* Liaise with Nurse Specialists and Senior Management regarding complaints and enquiries received by phone or electronically.
* Collate and present data and information as requested using agreed systems and formats.
* Provide support for service development initiatives within the Heart Failure Service.
* Cover staff absences and provide necessary support to administration colleagues.
