Role Overview:

Supporting the delivery of a high-profile U.S.-based live event, this role is responsible for all financial administration, cost tracking, reconciliation, and supplier/client finance processes. Operating from the UK, the Production Accountant works closely with producers, project managers, and the finance team to ensure accurate and timely handling of all production finances using the agency's Paprika system.
Key Responsibilities:
1. Cost Tracking & Reconciliation
· Monitor and update live cost trackers, ensuring real-time visibility of committed spend and actuals.
· Track all project-related expenditure across multiple currencies, ensuring accuracy and completeness.
· Reconcile project finances at agreed intervals and post-event to finalise job financials.
· Identify cost discrepancies and flag issues early to production and finance leads.
1. Supplier & Freelancer Finance Admin
· Coordinate supplier onboarding including W-8/W-9 and bank detail collection for U.S.-based vendors.
· Set up all suppliers and freelancers in Paprika in line with internal protocols.
· Manage purchase order creation, invoice matching, and timely payment processing.
· Ensure compliance with local U.S. tax requirements and internal UK finance processes.
1. Client Billing Support
· Track client-approved costs against project budgets and purchase orders.
· Raise invoices to client in line with payment milestones, agreed billing schedule, or actual spend.
· Maintain a clear audit trail of billing, approvals, and supporting documentation.
· Liaise with the internal finance team to manage WIP and ensure accurate revenue recognition.
1. Internal Financial Administration
· Maintain and file all financial documentation including quotes, invoices, approvals, and reconciliations.
· Support internal financial reporting and forecasting with accurate cost data.
· Work closely with producers and finance to ensure jobs are closed in Paprika once complete.
· Ensure project cost coding is accurate and consistent within Paprika.
1. Use of Paprika Finance System
· Input and maintain accurate project financial data within Paprika.
· Create and manage POs, update actuals, reconcile costs, and assist with invoicing workflows.
· Act as the go-to contact for production finance admin within Paprika for the project.
· Support compliance with agency financial processes, including approvals and documentation.
Criteria & Experience Requirements:
Essential:
· years' experience in a finance/project support role within a marketing, experiential, production, or live events agency.
· Proven ability to manage financial administration for large-scale, fast-paced projects.
· Strong understanding of supplier onboarding, invoicing, PO management, and reconciliation.
· Experience with U.S. suppliers and understanding of international payment processing and documentation.
· High proficiency in Paprika or similar project finance system (e.g., Maconomy, Synergist).
· Solid Excel skills for data management and reconciliation.
Desirable:
· Familiarity with U.S. sales tax handling and freelancer classification.
· Experience working with multi-currency projects, particularly GBP and USD.
· Previous experience in a production-heavy environment with multiple suppliers and fast-turnaround costs.
