This role supports the Proact UK PMO by coordinating resources and project-related administrative activities to help deliver projects in line with PMO guidelines.

Main Duties and Responsibilities
* Coordinate bookings and tracking of appropriately skilled Professional Services, Solution Architects and MCS Engineers, including management of the respective Resource Maps
* Monitor a skills matrix for all Professional Services staff to allocate bookings to the correct resource
* Manage resource-coordinated projects where a full-time project manager is not required
* Work with developers and accounts on a monthly basis to resolve ERP errors relating to project time recording
* Track and monitor 3rd Party PS
* Create project start-up and handover collateral for Project Managers
* Collaborate with Project Managers to assist in the management and delivery of projects per PMO guidelines
* Distribute project documents via Docusign and drive completion of all required signatures
* Provide regular reporting (e.g., weekly and monthly) as part of PMO processes
* Host dedicated weekly resourcing calls with Head of PS & Head of PMO
* Host weekly resourcing calls with the Presales Manager
* Present resource availability on the weekly PMO call
* Host weekly stakeholder calls to obtain project updates
* Host a weekly Out of Hours call to ensure completion of prior work and readiness for future bookings
* Monitor and track all banked customer days outstanding with PMO
* Participate in cross-departmental working teams as required
* Support and assist the Head of PMO including administration and booking meetings
Qualifications
* GCSE Grade C or above in English and Maths, or equivalent qualification
* Prince2 – Foundation certificate
* At least 1 year of experience in a resource coordinator role
* Minimum of 1 year’s experience utilising an ITIL service management framework
* Experience coordinating resources
* Experience drafting clear and comprehensive documentation
* Experience dealing directly with customers
* Experience working in a flexible team environment
* Ability to follow documented procedures
* Problem-solving abilities with experience in problem management and resolution
* Understanding and experience of IT industry change control processes
* Understanding of business issues affecting project delivery
* Ability to prioritise workload and manage time with an organized approach
* Excellent communication skills with the ability to communicate clearly to customers and the business
* Self-motivation and initiative with the ability to highlight issues and propose solutions
* Ability to identify potential opportunities to support sales
* Ability to influence external partners and develop relationships within vendor communities
* Ability to assess situations and recommend appropriate actions
* Ability to work with varied situations with limited guidance
* Ability to coordinate, book and manage multiple resources and ensure clear objectives
* Ability to create an environment enabling people to improve how they work
