Main duties of the job
Operational Management
Ensuring the day today running of the practice is efficient andwell coordinated
Managing patient flow, appointment systems, clinics, and practiceprocesses
Maintaining compliance with CQC requirements, NHS contractualobligations, and local policies
Leadership & Staff Management
Leading administrative and nonclinical teams
Overseeing recruitment, training, supervision, appraisals, rotas,and workforce planning
Supporting a positive, effective workplace culture
Finance& Business Management
Managing practice budgets, financial planning, and forecasting
Overseeing payroll, claims (e.g., QoF, enhanced services), andprocurement
Ensuring the practice remains financially sustainable
Maintaining high standards of patient experience
Handling complaints, feedback, and communication channels
Governance, Quality & Compliance
Leading quality improvement initiatives
Managing policies, risk assessments, audits, and CQC readiness
Ensuring data protection (GDPR), safeguarding processes, and health& safety standards
Strategic Planning and Development
Working with GP partners to plan and shape the future direction ofthe practice

Job responsibilities
Job summary
Responsibility for the smooth, efficient and profitable running of the practice,and maintaining a happy and committed team.
Also keeping the partners abreast of forthcoming changes in the NHS andgiving them options for responding to change.
Personnel and training
Managing the administrative staff and non-clinicalmanagement of nursing staff, including securing funding and taking leadresponsibility in staff appraisal and organising recruitment selection andtraining.
Ensuring contracts of employment are provided toall staff and that all relevant employment legislation is followed. Ensuringthe practices employment policies and procedures are comprehensive and up todate.
Finance and profitability
Responsibility for the book-keeping, petty cashand other financial aspects of the practice, including payroll and NHS pensionscheme arrangements
Ensuring that all income and expenditure due to ormade by the practice is received or recorded in the accounts of the practice,and preparing financial reports for the partners.
Information technology
Responsibility for the computer system, includingorganising any maintenance and developments to the system. Ensure compliancewith Data Protection legislation
Premises and equipment
Responsibility for security, repairs, insuranceand maintenance of premises, services and equipment.
Ensuring that the practice complies with aspectsof Health & Safety at Work (HASAW) legislation.
Patient services
Implementing and maintaining systems to receivepatient enquiries and suggestions, including oversight of the practice-basedcomplaints procedure in conjunction with the relevant partner.
Reviewing and updating the practices informationleaflet/website, practice publicity and health education material.
Future planning
Preparing a practice business plan, annual reportand practice aims and objectives as required by the partners
Keeping abreast of developments within the NHSthat might impinge on the practice or individual partners and offering optionsfor consideration by the partners.
External relationships
Ensuringefficient internal and external communication, including being the focal pointfor contact with the primary care organisation, solicitor, accountant and otherbodies such as Primary Care Network.

Health & safety
The post-holderwill implement and lead on the full range of promotion and management of theirown and others health, safety and security as defined in the practice Health& Safety policy, the practice Health & Safety manual, and the practiceInfection Control policy and published procedures. Ensuring job holders across the practice adhere to theirindividual responsibilities for infection control and health and safety,using a system of observation, audit and check, hazard identification,questioning, reporting and risk management.
Maintaining an up-to-date knowledge of health and safety andinfection control statutory and best practice guidelines, and ensureimplementation of these across the business
Using personal security systems within the workplace according topractice guidelines
Identifying the risks involved in work activities and undertakingsuch activities in a way that manages those risks across the business
Making effective use of training to update knowledge and skills,and initiate and manage the training of others
Using appropriate infection control procedures, maintaining workareas in a tidy and safe way and free from hazards, and initiation ofremedial / corrective action where needed
Actively identifying, reporting, and correction of health andsafety hazards and infection hazards immediately when recognised
Keeping own work areas and general / patient areas generallyclean, identifying issues and hazards / risks in relation to other workareas within the business, and assuming responsibility in the maintenanceof general standards of cleanliness across the business in consultation(where appropriate) with other sector managers
Undertaking periodic infection control training (minimum annually)
Routine management of own team / team areas, and maintenance ofwork space standards
Demonstrate due regard for safeguarding andpromoting the welfare of children.

Qualifications
* Educated to degree level or equivalent experience
* Evidence of ongoing professional development
* Strong IT literacy, including proficiency in Microsoft Office and clinical systems e.g., EMIS.
