Job Title: Document/IT Administrator Department: Commercial Reports To: Construction Administrator Location: Office-based (with occasional travel to sites as required) Job Purpose: The Document/IT Administrator is responsible for supporting the Commercial Department through a range of administrative, IT, and documentation tasks. The role ensures the smooth operation of internal processes by managing systems, equipment, and project documentation in a timely and accurate manner. Key Responsibilities: * Set up and configure IT/phone equipment for site and office staff * Maintain an up-to-date asset register for all IT equipment * Apply for warranties and keep associated records * Convert project data into clear, user-friendly reports or documents * Manage document control: scan, copy, distribute, and track revisions * Liaise with project teams to ensure compliance with documentation standards * Assist with the monitoring of digital quality control systems (e.g., Field View) * Use office software including spreadsheets, databases, and email systems * Attend internal/external meetings and support events as required * Process timesheets, expense claims, and purchase orders on time * Provide general administrative support to the department Additional Duties: * Act as a liaison between clients, suppliers, and staff * Handle incoming calls and welcome visitors * Undertake ad hoc duties as assigned by management Skills & Qualifications: Essential: * Strong administrative experience (2 years) * Proficient in Microsoft Office (Word, Excel, Access) * Strong communication and organisational skills * Ability to work under pressure and meet deadlines * Valid driving license and ability to travel if needed Desirable: * Experience in the construction industry * Familiarity with systems like Viewpoint, Sage, or Eque2 * Degree or HNC-level qualification
