Job Summary

The post holder will work in the lung cancer screening (LCS) service and will be mainly based at the mobile vans and Unipart House, assisting the radiographic and nursing staff in the smooth running of the service. A significant part of this role will require telephone screening of participants to ascertain their risk score. The role will involve cross‑site working across Oxfordshire with the ability to work from home some of the time. The LCS service offers a 5‑day‑a‑week service for targeted participants who are currently or previously smoked and aged between 55 and 74 years of age. We offer an initial telephone appointment followed by a face‑to‑face low‑dose CT scan if indicated. As a mobile service, we travel around the county a couple of times a year.

This is a hybrid role. Some travel to the mobile van (various sites across Oxfordshire) and Unipart House is required. The post holder must meet the requirements of the Health & Safety at Work Act (1974), the Control of Substances Hazardous to Health (COSHH) Regulations, the Ionising Radiation Regulations and Data Protection Act (1984) and any subsequent legislation.


Recruitment Details

We have adopted a centralised hiring process for administration roles in bands 2‑3 and 4‑5. This means you apply once and are considered for multiple positions within our organisation.

We are currently recruiting for the following Band 3 role across the organisation:

* Lung Cancer Screening Service Administrator – 37.5 hours per week.

Responsibilities

* Introduce and welcome patients in the waiting area, confirming their identity according to the Trust Policy.
* Work comfortably with a range of different patients.
* Exercise discretion and maintain patient confidentiality.
* Maintain the patient’s dignity and privacy at all times.
* Demonstrate good communication skills when dealing with patients, relatives and members of the multidisciplinary team, utilising sensitivity, empathy and the ability to manage conflict.
* Act as a patient’s escort, taking them to the changing rooms and preparing them for the examination.
* Assist with patient moving and handling and equipment moving, using correct methods and equipment as required (as per Manual Handling Policy).
* Undertake mandatory training as required by the Trust to develop and increase skills and improve the service to the public.
* Accurately book patients in, and amend data where appropriate, using the Radiology Information System (RIS), the Electronic Patient Record (EPR) and Nelson+ software.
* Cover staff annual leave/absence which may require cross‑site working.
* Assist Radiographers performing low‑dose CT scans.
* Explain to patients the preparatory requirements regarding undressing/dressing and assist the patients when necessary.
* Input and amend data on CRIS.
* Help maintain high standards of cleanliness of equipment and accessories, and keep examination rooms and changing areas clean, tidy and supplied with linen.
* Assist in stock rotation of supplies.
* Assist with the preparation of the examination rooms.
* Be aware of and comply with the relevant Ionising Radiation Protection Regulations and Local Rules (IRR 17 and IR(ME)R 17).
* Maintain a professional appearance and attitude at all times, working together and supporting other members of the team in a polite and helpful manner.
* Carry out any other duties reasonably required.
* Be aware of and comply with Trust policies, procedures and legal requirements including Health & Safety regulations, COSHH, Manual Handling Regulations, Data Protection Act.
* Contribute to the department’s Quality Assurance and Audit Programme.
* Participate in all relevant in‑house training.
* Communicate equipment faults.
* Assist in and supervise training of new LCS Assistants as required.
* Act as the first point of contact on the telephone and by e‑mail for patients, relatives, GPs and any other relevant agencies, answering or redirecting queries in a timely manner.
* Support with telephone screening as required, and after undergoing appropriate training, identify lung cancer risk scores of participants.
* Use telephone, e‑mail and letters to communicate professionally with participants to arrange appointments and follow up non‑attendants.
* Provide primary administrative support to all clinical staff and all participants in the program, including diary administration, correspondence support and other administrative duties as required.
* Provide a supporting role to the Nurse Manager and Information Support Officer to help ensure the efficient administration of the service.
* Provide rostering and clinic planning, managing DNAs and rescheduling when required.
* Attend departmental meetings, training and your annual appraisal as required to maintain an up‑to‑date working knowledge of service and trust procedures.
* Work within Standard Operating Procedures.
