Overview
Provide full‑time, office‑based administrative and operational support across the Block Management function, working closely with senior leadership, including the Director of Block Management and Head of Accounts. The role requires strong organisational skills, attention to detail, and the ability to manage multiple priorities across a varied property portfolio.
Key Responsibilities
* Administration & Coordination: coordinate schedules, meetings and priorities across the team, prepare meeting agendas and supporting documentation, record key actions and ensure follow‑up on deliverables, maintain structured filing systems and accurate records, update spreadsheets, trackers and internal reports.
* Communication & Stakeholder Support: manage shared inboxes and respond to correspondence, draft communications to colleagues, stakeholders, managing agents, leaseholders and contractors, log, monitor and track ongoing issues, ensure timely responses and resolution of outstanding matters.
* Operational & Team Support: support the preparation of reports, board packs and presentations, maintain databases and key records, assist with documentation for disputes or tribunal matters, coordinate training sessions and stakeholder events, monitor KPIs and maintain reporting dashboards, support continuous improvement of internal processes, research legislative and regulatory updates, assist with administrative and operational projects as required.
Essential
* Proven experience in an administrative or coordination role.
* Strong organisational and time‑management skills.
* Excellent written and verbal communication.
* High attention to detail and accuracy.
* Proficiency in Microsoft 365, particularly Excel.
* Ability to handle sensitive and confidential information.
Desirable
* Experience within block or property management.
* Understanding of leasehold legislation.
* Familiarity with property management systems.
