About the Role
We’re looking for a detail‑focused and organised Team Administrator to join our Glasgow City Centre office. This varied and hands‑on role supports professional property teams by producing well‑presented reports, managing client information, and keeping processes running smoothly behind the scenes. The position is ideal for someone who enjoys technical document formatting, working accurately with systems and spreadsheets, and taking pride in producing high‑quality work.
What You’ll Be Doing
Technical report & document support
* Produce reports using templates and digital or handwritten dictation.
* Format reports to a high standard – ensuring layout, headings, tables, and appendices are clear and consistent.
* Work with Excel‑based templates where surveyors input technical content and ensure everything is presented correctly.
* Handle large volumes of photographs: resize, compress, and insert them into reports with correct headings and layout using Adobe.
* Support valuation and consultancy reports by checking structure, summaries, and formatting; your focus is on presentation, accuracy and structure.
Excel & systems work
* Use Excel regularly for reports that contain paragraphs of text, tables, and calculations.
* Format cells correctly and make basic edits to formulas (e.g., totals and checks).
* Work confidently within existing templates rather than creating spreadsheets from scratch.
Client Setup & Compliance
* Set up new clients and jobs on internal systems.
* Carry out checks such as anti‑money laundering and conflicts of interest.
* Perform due diligence using Companies House and credit‑checking tools.
* Assist with fee notes, credit notes, and invoice processing.
* Support data accuracy across CRM and accounting systems (training provided).
Office & Admin Support
* Diary management, including booking travel and accommodation.
* Prepare documents (binding, photocopying, formatting).
* Keep client files organised and audit‑ready.
* Help manage meeting room bookings in a busy office.
Systems You’ll Use
* Microsoft Office, particularly Word and Excel.
* Google Workspace (Docs, Gmail).
* Adobe for document and image handling.
* CRM and accounting systems (Sage experience helpful, but full training provided).
About You
* Have experience in an administrative or support role and enjoy working with detail.
* Be confident with document formatting and using Excel beyond basic data entry.
* Be organised, reliable, and comfortable juggling different tasks.
* Like working as part of a team and aren’t afraid to ask questions.
* Seek a role that is structured, varied, and not repetitive.
The Team
You’ll be joining a friendly, collaborative team of around 25 people, supporting client work, reports, and data processes during a busy and exciting period for the business.
