About the Role
Knight Frank are looking to hire a Property Administrator to join our Rural Asset Management team in Horsham! This position is offered on a 12 month Fixed Term contract basis.
You will join an established, friendly and collaborative team, working across a varied rural estates and properties and supporting the delivery of a high standard of service to clients and tenants.
Responsibilities
* Maintain accurate property records, estate terriers, and compliance data using property management software
* Prepare reports on property information, key dates, and compliance requirements
* Take ownership of property systems, ensuring data integrity and supporting/training users
* Support process improvements through standard templates and agreed automation
* Manage tenancy administration, including onboarding new properties, drafting particulars, and ensuring all documentation is accurate and completed on time
* Prepare and issue tenancy documentation (hard copy and DocuSign), register deposits, and complete CDD checks in collaboration with relevant teams
* Support end-of-tenancy processes, including check-outs and deposit releases
* Coordinate compliance administration (e.g. Gas Safety, EICR, EPC), ensuring all records and deadlines are up to date
* Maintain diaries and records for inspections, maintenance, and key tenancy milestones, including tracking follow-up actions
* Coordinate maintenance and contractor activity, including routine and reactive works, refurbishment projects, and contractor onboarding/renewals
* Liaise with contractors, track progress, and maintain accurate contractor records
* Manage financial administration, including rent demands, debtor reporting, rent collection support, supplier invoices, and tenant recharges
* Handle tenant enquiries, resolving or escalating issues as appropriate
Experience Required
* Previous administrative experience, ideally in property, estates, or facilities management
* Strong organisational skills with the ability to manage multiple priorities
* Proficient in Microsoft Office and confident using digital systems
* Strong written and verbal communication skills
* Detail-oriented, proactive, and able to work independently and as part of a team
* Interest in rural property or estate management desirable
