Role Purpose
The Exams Officer will play a key role in supporting the effective and compliant administration of examinations at the centre. Working under the direction of the Exams Manager, the postholder will ensure that all processes adhere to awarding body and regulatory requirements. The role requires a strong focus on customer service, with responsibility for engaging positively and professionally with candidates, parents, tutors, and other stakeholders.
Key Responsibilities
Examination Administration and Compliance
* Process examination entries in accordance with awarding body requirements and agreed centre procedures.
* Assist the Exams Manager in maintaining full compliance with Joint Council for Qualifications (JCQ) and awarding body regulations.
* Ensure secure handling, storage, and distribution of examination papers and associated materials.
* Prepare examination timetables, seating plans, and candidate communications.
* Record, process, and issue candidate results and certificates in a timely and accurate manner.
Customer Service and Stakeholder Engagement
* Act as a point of contact for candidates, parents, and tutors, providing accurate and timely information.
* Respond professionally to enquiries, ensuring that all candidates and stakeholders receive a high standard of service.
* Liaise effectively with awarding bodies and other external partners as required.
* Maintain positive and professional relationships with invigilators and colleagues involved in exam delivery.
Operational Support and Delivery
* Assist in the organisation and smooth running of examination sessions, including the preparation of rooms, candidate registration, and support for invigilators.
* Contribute to the effective implementation of contingency arrangements where required.
* Support post-examination processes, including applications for special consideration and reviewing exam session feedback.
Team Contribution and Professional Development
* Work collaboratively with the Exams Manager and colleagues to develop and improve systems and processes.
* Assist with the recruitment, training, and support of invigilators.
* Undertake appropriate training and professional development to remain current with sector and regulatory updates.

Person Specification Essential Criteria
* Strong organisational and administrative skills with a high level of accuracy and attention to detail.
* Excellent verbal and written communication skills, with the ability to engage confidently with a wide range of stakeholders.
* Demonstrable commitment to providing a professional and customer-focused service.
* Proven ability to work effectively under pressure and to manage competing priorities within strict deadlines.
* Competence in the use of IT systems, including Microsoft Office and databases.
* Ability to handle confidential information with discretion and integrity.
* Flexibility to work additional hours and on-site full-time during peak examination periods.
* Desirable Criteria
* Previous experience in examinations administration, assessment services, or education sector administration.
* Working knowledge of Joint Council for Qualifications regulations and awarding body requirements.
* Experience of using Management Information Systems (MIS) or exams software.
* Prior experience in customer service or client-facing role.
