Our client is a highly regarded legal firm based in York, known for delivering expert advice with a genuine personal touch. They are now looking for a Secretary / Administrator to join and support their Wills & Probate team, a role that would suit someone who is professional, compassionate and thrives in a busy support position where accuracy really matters.
Previous legal experience would be beneficial, but it is not essential. If you have worked in a secretarial or administrative role within a professional services environment such as accountancy, finance or property, or in a medical/NHS setting, and you are confident handling sensitive information with care and discretion, this could be an excellent next step.
What the Legal Secretary job involves
This is a key support role within the team, helping fee earners manage their caseloads efficiently while ensuring excellent service is delivered to clients. Duties will include:
Producing and amending legal documents and correspondence, including digital dictation/audio typing and copy typing
Preparing probate and estate administration documents, forms and client packs
Opening, maintaining and closing files in line with firm procedures, including support with client onboarding and AML checks
Managing fee earners’ diaries, appointments, meetings and client communications
Handling incoming calls and emails, taking accurate messages and responding to queries in a professional and helpful manner
Managing documents, including scanning, saving, filing, bundling and maintaining version control
Liaising with clients, executors, beneficiaries, third parties and other professionals
Supporting billing, time recording, matter administration and general file housekeeping
Helping the team meet deadlines and ensuring matters continue to progress smoothly
Skills required
We are looking for someone with a solid secretarial or administrative background and a positive, proactive approach. Ideally, you will be:
Warm, professional and confident when dealing with clients, often during sensitive circumstances
Highly organised, with strong attention to detail
Comfortable managing a busy workload and working to deadlines
A clear and confident communicator with strong written skills
IT confident, with good working knowledge of Microsoft Office; experience of legal case management systems would be an advantage
Discreet and trustworthy when handling confidential information
Proactive, supportive and happy to get stuck in
Experienced in a professional services environment

Monday to Friday, 9am – 5pm (35 hours per week)
