Overview
The Admin & Shipping Clerk is an essential role encompassing all elements of logistics and customer support to meet and surpass customer expectations. Reporting to the Customer Success Manager, the role supports the Shipping & Receiving Clerk for logistics tasks while working cross-functionally and following set procedures to maintain regulatory status.
Strict adherence to process is essential to ensure we maintain our accredited regulatory status.
Responsibilities
The primary role is to provide support and absence coverage to the Shipping & Receiving Clerk to turn around new dosimeters for onward delivery to customers and ensure timely return of used dosimeters to Glenwood USA to meet regulatory reporting timelines. The role also handles administrative tasks not managed by customer service or sales. Tasks involve communication with customers via phone or email (tracked in Zendesk). As a small team, a demonstrable team player attitude is essential, along with the ability to work to defined goals and KPIs.
* Shipping & Receiving Tasks
* Processing of all inbound and outbound dosimeters in accordance with standard work, ensuring 100% daily turnaround
* Act as point of contact and escalation for couriers/post, including daily chasing if UPS is not on site by 3pm
* Daily shipment tracking to spot potential delays and escalate concerns accordingly
* Respond to customer shipping enquiries via email or telephone, in Zendesk
* Reading and reporting of control dosimeters to minimise future transit dose problems
* Emergency readings of customer dosimeters, with strict adherence to time constraints
* Issue and self-order logistics supplies (boxes, tape, bubble wrap, etc.)
* Engagement with wider team, particularly US operations
* Administration Tasks
* Handle administrative tasks related to Irish and overseas customer shipments
* Obtain customer remittances from Zendesk and save in shared file
* Upload invoices to customer portals
* Process and send Passbook requests
* Process accessory orders such as badge boards and holder requests
* Liaise with manual release customers by telephone on a monthly basis and process their shipment orders
* Arrange regular site visits with external company to securely shred confidential information
* Carry out any other duties as required
Qualifications/Skills and Knowledge
* Previous logistics experience desired but not essential
* Energy and ability to work under time pressure
* Strong oral and written communication skills
* Effective decision-making and problem-solving abilities
* Experience of working cross-functionally
* Results driven

* 100% turn around and daily shipment of dosimeters
* Ownership of shipping and receiving mailbox
* Emails responded to within 72 hours (48 hours for VIPs) as tracked by Zendesk
* Net Promoter Score (NPS) improvement trend
