Role Description:
We are seeking a highly motivated, self-directed professional who thrives in a fast-paced, and dynamic environment. This role serves as a key point of administrative and organizational support for equity long/short teams. The ideal candidate is intellectually curious, perceptive, discreet, and operates with uncompromising integrity. They are comfortable engaging with a wide range of internal and external stakeholders in a polished, professional manner. Success in this position requires the ability to manage multiple concurrent priorities, while consistently delivering high-quality work and reliable follow-through.
Main Responsibilities:
* Coordinate and manage internal and external meetings, ensuring efficient use of time and resources
* Track, log and validate corporate access activity and broker interactions
* Oversee calendar management, including proactively identifying and resolving scheduling conflicts and ensuring teams are prepared for meetings (e.g., materials, logistics, travel)
* Arrange complex domestic and international travel for portfolio managers and team member
* Prepare, submit, and reconcile expense reports for portfolio managers and team members in a timely manner
Essential Skills:
* 3–5 years of administrative assistant or executive support experience, ideally within financial services (strongly preferred but not strictly required)
* Proven ability to perform in a fast-paced, constantly evolving environment and to adjust quickly to shifting priorities
* Excellent written and verbal communication skills, including professional correspondence style
* Proficiency with Microsoft Office (Outlook, Word, PowerPoint, Excel)
* Strong time-management capabilities, with the ability to prioritize and balance multiple tasks and deadlines
* Ability to handle sensitive and confidential information with discretion while working across multiple teams and functions
* Exceptional organizational skills and meticulous attention to detail
* Strong sense of accountability and ownership over work product
* Proactive approach to following up on tasks, anticipating needs, and ensuring closure on all requests
* Mature, professional demeanour and strong interpersonal skills; able to communicate effectively with colleagues at all levels, including senior leadership
* Collaborative team player who can also operate independently with sound judgment
Office:
This role will be onsite, in our Glasgow Office. Located in our recently renovated office in the heart of Glasgow, our workspace boasts a fully stocked bar/recreational area on the top floor and a roof terrace offering stunning views of central Glasgow.
