Your main responsibilities
We are currently recruiting for a Service Administrator to join the Rubax Team on a permanent basis based at our Warrington Office. The successful candidate will provide administrative duties as part of the Service Department Team including answering the phone, typing correspondence, invoicing, sending & processing emails and updating in-house systems as well as customer portals. Work closely with field engineers and plan work and technical diary. Liaise with people across all areas within the business both internally and externally. They will also ensure processes are followed correctly and support the Key Accounts Department. This is a full time role working Mon-Fri
What you'll be doing:
1. Maintenance of files, assisting with worksheets, schedules, and other service-related documents
2. Preparing and sending reports to the customer
3. Keeping the in-house system up to date
4. Updating customer service portals to ensure we adhere to KPIs & SLAs
5. Demonstrating customer service, taking calls & emails, dealing with enquiries & taking detailed messages
6. Preparing and sending accurate sales invoices
7. Communicating professionally with all people and departments both externally and internally
8. Logging & processing callouts and checking with engineers to ensure completion
9. Process regional engineer timesheets and plan engineer work and route coordination
10. Plan engineer diaries ensuring completion of maintenance and reactive jobs productively and efficiently and ensuring all jobs are covered
11. Be able to prioritise workload and identify priority works

Candidate Requirements:
12. Previous experience in a similar role is desirable and a flexible approach to work
13. Highly organised, proactive with the ability to work as a Team as well as on own initiative
14. Good planning and time management skills
15. Able to resolve conflicting demands to ensure good customer service
16. IT literate with good knowledge of MS Office
17. Able to prioritise own workload effectively
18. Working with minimal supervision and utilising initiative
19. Commitment to deliver business support accurately, under pressure and to tight timescales
20. Reliable, organised, and diligent, with an excellent telephone manner
