We are looking to recruit an experienced and motivated medical secretary to join our friendly and supportive GP practice team.

Main duties of the job
The role of medical secretary in our practice provides vital support to the clinical team, helping to ensure patients receive timely and well-co-ordinated care.
Key tasks include typing letters and processing letters and reports, managing and tracking referrals (including urgent pathways), uploading and coding documents accurately into the clinical system.
You will act as a vital link between our GPs and hospitals, community services and patients, arranging and chasing non-clinical queries, appointments and ensuring information is passed on promptly and securely.
You will also be responsible for managing work relating to non-nhs services such as insurance reports, SARs requests and patient letters and forms.
The role requires excellent organisation, attention to detail the ability to maintain confidentiality and clear communication. You will often be working with a high volume of work while prioritising urgent requests in line with practice protocols.

Our practice is based in the heart of Tewkesbury, in a beautiful location not far from the picturesque Tewkesbury Abbey and directly opposite the community hospital. We care for 14,000 patients and are proud to have been rated CQC outstanding at our last inspection, accessible and community-focused at the centre of local health services.
Our clinical team comprises of 9 GPs (6 partners and 3 salaried) and we also have up to 3 GP registrars in practice along with medical students from the Three Counties Medical School in Worcester. Our GP team is supported by 2 excellent nurse practitioners. We have a strong practice nursing team of 5 specialist practice nurses who are supported by 3 HCAs and a phlebotomist. The practice works closely with our PCN ARRs funded teams of physio therapists, social prescribing link workers, pharmacy team and award winning Health & Wellbeing team who look after our frail and vulnerable patients. The integration of these teams helps us to provide proactive and personalised support to our patient population.
The practice is part of a very supportive and collaborative PCN (TWNS) and this enables us to share resources, develop new services and improve access for our local population.

Job responsibilities
A medical secretary in a GP practice plays a key role insupporting clinicians and keeping patient pathways running smoothly. Mainduties typically include:
ManagingcorrespondenceTyping and processing clinic letters, referrals,and reports; checking accuracy and ensuring they are sent promptly tohospitals, community services and patients.
HandlingreferralsCreating and tracking electronic referrals (e.g. viae-RS), chasing appointments or reports, and liaising with secondary careto resolve queries.
Supportingclinicians with adminPreparing documents for GP review andsignature (e.g. insurance reports, DVLA forms, medical reports), andensuring they are completed and returned within agreed timescales.
Patientcommunication (non-clinical)Contacting patients aboutappointments, referral details, and administrative queries, alwaysmaintaining confidentiality and clear, professional communication.

Person Specification
Experience
* Experience of working with the public - face to face and telephone - preferably within a healthcare setting
* Administrative experience including the use of office and outlook
* experience of working as a medical secretary, coder or administrator
* experience of working in General Practice
Qualifications
* GSCE grades 9 to 5 (A to C) (or equivalent) in English and Maths.
* Typing Qualification - e.g. OCR or RSA
