Role Purpose: The Senior Operations Coordinator plays a critical role in ensuring the smooth and efficient execution of Lean Tree’s daily operations. This position is central to workforce planning, contract administration, and recruitment, while also supporting the Director of Operations in delivering operational excellence across the business. This role requires a proactive, highly organised, and commercially aware individual who thrives in a fast-paced environment. The successful candidate will be responsible for managing a wide range of administrative and compliance-related tasks, with a particular focus on recruitment, onboarding, induction, offboarding, and workforce planning. The Senior Operations Coordinator should be adaptable to the changing needs of our growing business and fully support the Director of Operations. Key Responsibilities: Contract Administration: Statement of Work (SOW) management – translate project scopes into clear, accurate statements of work (SOWs) for all new and renewed client engagements, ensuring alignment with commercial terms and compliance requirements SOW tracking – maintain oversight of all active SOWs, tracking progress and key milestones to provide the Leadership team with visibility into upcoming contact actions and renewal timelines Associate contracts – generate new and renewal associate contracts in line with statements of work and agreed commercial terms, maintaining accurate records and managing all interactions Resource Planning and Recruitment: Workforce planning – updating the planner when potential SOW’s progress through the sales pipeline, ensuring that Leadership have visibility of employee and associate’s availability and relevant skills Recruitment and resource pipeline management – manage the recruitment process, including job postings and candidate coordination for all open roles, liaising with Lean Tree Associate Network (LTAN), outside agencies, and prospective candidates to organise vetting, shortlisting, intro calls, interviews and offers for employees and associates Onboarding – manage onboarding process for all new employees and associates, ensuring new starter information is processed seamlessly to meet our compliance requirements Induction - introduce new employees and associates to Lean Tree with high energy, communicating key information about our values, organisational structure, guidelines and key processes. Create and maintain collateral to support induction process Internal and External Communication: Facilitate cross-functional communication – act as a liaison between internal Practices, associates, clients and Leadership team to support collaboration and information flow Participate in team planning meetings - align on objectives, contribute to shared goals, monitor progress across work streams, and support effective communication and collaboration between Practices Manage internal and external enquiries – respond professionally and efficiently ensuring escalation and follow up actions are tracked Monitor shared mailboxes – review, respond or action emails into multiple mailboxes, ensuring timely communication whilst maintaining a clean, well filed mailbox Compliance: Movers – provide operational support for Lean Tree employees and associates as they move between client assignments, ensuring operational/internal offboarding and onboarding processes are completed seamlessly and effectively Offboarding – manage the offboarding processes for employees and associates, coordinating with the relevant departments to safeguard company data and maintain compliance Compliance and reporting – reporting, recommendations and process improvements to ensure accuracy and compliance to policy for time off requests, timesheet submission, expenses submission and travel requests/bookings Tracking and reporting – Track and report on key operational metrics, including holiday burndown, timesheet submissions, and recruitment progress Sales Support: Operational support for bids and proposals – provide responsive, on-demand operations support during the preparation and submission of bids and proposals.
