Job Description
The role oversees the operations of a full range of facilities owned by CMS, to be used flexibly for strategically driven services in relation to CMS’s vision and values. We require someone who develops and builds strong team relationships throughout the organisation, as well as with a small team of direct reports. We aim to offer a facilities service that is customer-focused, professional, and unobtrusive. Delivery of a quality service, embodying the level of hospitality and welcome consistent with the CMS ethos, is a primary performance measure.
Your relationships
* This role will report to the Director of Finance & Corporate Services.
* This role will work collaboratively with others in the wider finance and corporate services group.
* This role will work closely with all staff and tenants across CMS.
* Line management responsibility for the CMS House supervisor and conferencing and reception assistant.
Your responsibilities
Conferencing and reception
* Line management of a team of two staff: the CMS House supervisor and conferencing and reception assistant.
* Ensuring team development to nurture a culture of welcome and customer service, while ensuring tasks are completed.
* Providing direct support to the team, including cover on reception and assistance during major events in the CMS House building.
* Supporting the Director of Finance and Corporate Services in setting policies and guidelines for the use of the CMS House building and for hiring conference facilities, including rates, publicity, and balancing use by internal/external users.
Facilities management
* Monitoring contracted services for utilities (gas, electricity, water, etc.) and selected services (windows, pest control, hygiene, refuse collection).
* Arranging and supervising building maintenance contracts—lifts, air conditioning, electrical testing, fire alarms, CCTV—and minor repairs as required. Renegotiating contracts as needed, involving relevant stakeholders.
* Maintaining building service performance, optimizing maintenance regimes, and proposing improvements.
* Liaising with existing tenants and working with CMS-appointed agencies to market surplus office space, in collaboration with the legal team on tenancy agreements.
* Managing other properties owned by CMS (by 2025: three houses and two flats), advising on maintenance and occupancy.
* Managing the maintenance of the pooled car fleet.
Health and safety
* Coordinating health and safety policies across the organization, working with consultants as needed.
* Ensuring the building meets health and safety legal requirements.
* Performing daily and weekly safety checks (fire alarms, water safety).
* Arranging training for first-aiders, fire wardens, and overseeing fire drills.
Other
* Flexibility with working hours, including out-of-hours maintenance to minimize disruption.
* Managing the facilities budget, invoices, and expenses.
* Contributing to the Creation Care group regarding building and fleet use.
* Performing other duties as assigned by the Director of Finance and Corporate Services.
