Offer description

Working hours: 37.5 hours per week. 5 days per week – usually Monday to Friday. Occasional weekend, bank holiday and evening work will be required.

Location: YMCA George Williams House, Southampton.

Salary: £24,786 per annum.

Job Purpose

To assist the Supported Housing Manager and Supported Housing Area Manager with daily tasks of administration, planning and organising. To provide front of house reception and administrative support for residents including answering queries, diary management, help with correspondence and appointment making, and signposting.


Main Duties & Responsibilities

* Deliver front of house administrative support to the management team and to residents.
* Answer telephone calls, schedule appointments, organise diaries and meetings, book rooms.
* Undertake delegated tasks such as generating reports and creating documents.
* Handle tasks generated by residents, including processing payments, electric cards, helping interpret correspondence, making appointments and liaising with the wider team on residents' behalf.
* Data entry on IT systems, interrogate systems for data and produce reports.
* Generate and distribute correspondence.
* Support rent arrears, rent collection and payment processes.
* Calmly and efficiently deal with assessed levels of challenging behaviour.


Qualifications & Experience

* A very good level of computer literacy and experience of using databases.
* Experience of working with young people.
* Experience working in housing management/services role is desirable.
* Understanding of the issues facing young people. Training in trauma‑informed approaches to communication is an advantage.
* Working knowledge of equality, diversity and inclusion matters.

* Outgoing and friendly personality; able to communicate well and engage with a wide range of people, particularly young people.
* Methodical and accurate approach to work, able to complete tasks to deadlines and present good reports, both written and verbal.
