PrimeFlight ground handling, Cargo and ULD business is headquartered in London and currently has operations across the UK, Holland, Italy and Germany. The UK business has 7 legal entities with multiple external payroll providers and systems. Payroll is currently outsourced, and the Payroll Manager will manage external providers to ensure compliance and accuracy while insourcing payroll in the UK in 2026 and developing a fully insourced payroll department in the UK while continuing to manage outsourced European payroll providers.
The Payroll Manager will have experience running multiple complex payrolls across the UK and Europe, within fully insourced, managed services and outsourced models across regional jurisdictions. This role suits someone with strong leadership in payroll who can manage both strategic and operational responsibilities. You will be responsible for insourcing multiple payrolls across the UK, creating a fully insourced payroll division, recruiting and mentoring a new team, overseeing payroll, and taking an active hands-on approach.

Key Accountabilities
* Manage an efficient end-to-end payroll service in relation to the lifecycle of an employee, including creation/checking of new employees, variations to contract, payments, deductions and terminations.
* Process starters, leavers, contractual changes, variable pay elements (overtime, bonuses, commissions), and statutory payments.
* Manage and produce multiple monthly payrolls for different group legal entities in the UK with varying terms and conditions; assist external agencies as required.
* Process time sheets/weekly hours submissions, P45s, Attachments of Earnings and other payroll amendments.
* Manage changes due to sickness and parental leave.
* Reconcile and verify reports before payroll updates to ensure correct payments.
* Audit Time & Attendance data and payroll submission sheets to ensure hours, overtime and absence are captured correctly.
* Become a superuser for Time & Attendance data outputs/reports for payroll processing (overtime, absence, holidays).
* Improve payroll accuracy by reducing late submissions and post-termination payments to leavers.
* Lead payroll transformation programs and process improvements to optimize efficiency and accuracy.
* Manage bank transfers for employee payments as required by the business.
* Act as main point of contact for Station/Operational Managers to improve payroll deadlines compliance and understanding of payroll processing implications.
* liaise with staff and management on payroll queries; act as senior contact for complex payroll queries.
* Ensure full compliance with statutory payments, deadlines and administrative submissions.
* Manage statutory year-end processes: P60s, P45s, P11Ds (UK), ROI filings and pension year-end administration per deadlines.
* Ensure monthly NMW checks are completed.
* Calculate and pay Average Holiday pay.
* Provide data for Gender Pay Gap reporting.
* Manage payroll system updates for legislation changes and software updates; maintain data consistency and integrity.
* Support implementation of new payroll systems to ensure seamless service.
* Review current payroll processes and propose improvements to management.
* Collaborate with HR to improve processes and information flows; support integration of HRIS, Time & Attendance and Payroll.
* Ensure pension schemes compliance and publish clear scheme rules including pensionable pay elements, auto-enrolment and re-enrolment dates, salary sacrifice impacts, and absence periods.
* Lead pension scheme administration for multiple providers, ensuring contributions and paperwork are completed.
* Maintain payroll, pensions and HR knowledge to advise and ensure compliance with statutory obligations and current processes.
* Prepare and provide salary information to HMRC in the appropriate format.
* Ensure compliance with HMRC, Pension Regulator and DWP guidelines; complete HMRC submissions, perform payroll reconciliations and meet legislative timescales.
* Provide cost forecasts, monthly GL and variance reports to Finance and operations to support management accounts.
* Reconcile payroll balance sheet accounts and resolve variances.
* Analyze and report on payroll data.
* Support data provision for TUPE transfers, contract tenders or M&A projects.
* Create/maintain SOPs, Payroll Processing Manual, process maps, forms and templates for end-to-end payroll processing.
* Lead development of PrimeFlight Payroll Policies, Procedures and Processes.
* Hire and train new payroll team members; effectively manage staff to meet payroll objectives.
* Lead, develop and assist with performance management of team members to ensure service delivery; mentor and train less experienced staff.
* Lead payroll-related projects.
Required Experience
* Proven experience managing multiple manual payrolls across the UK and working with outsourced European payroll providers, supporting a complex organization of at least 1,000 people.
* Ideally experience in global or multi-country payroll management.
* Experience building a payroll team and department from scratch, ideally with payroll insourcing.
* Excellent knowledge of current payroll legislation, pensions, and benefits.
* Experience with large-volume payroll systems.
* Ability to mentor and develop a team.
