Role Overview
We're recruiting for an Executive Assistant at our head office in Whitley, Yorkshire, supporting our C‑suite.
Responsibilities
* Provide high‑level proactive administrative support to the CEO, CFO, and CTO.
* Plan and coordinate meetings, events and travel (domestic and international).
* Maintain and manage executives’ calendars, schedule appointments, meetings and conferences.
* Coordinate with internal and external stakeholders to prioritise, schedule, and ensure effective use of executive time.
* Plan and coordinate executive meetings, including board meetings, company events and workshops, and prepare agendas and logistics.
* Make travel arrangements (flights, accommodation, ground transport, visas) and prepare detailed itineraries.
* Manage company credit card usage in line with group policy and reconcile expense reports.
* Draft and review correspondence, internal communications, emails, reports, presentations and other documents.
* Prioritise and escalte urgent matters; follow up on action items; handle sensitive and confidential information with discretion.
* Attend meetings, take minutes and distribute them to relevant parties.
* Manage electronic and physical files, documents, and records.
* Conduct research, gather data and prepare reports and presentations as requested by executives.
* Track progress, gather updates, and report on project status.
* Build and maintain positive relationships with internal and external stakeholders.
Qualifications
* Proven experience as an Executive Assistant to C‑suite members, including international business and board‑meeting coordination.
* Excellent organisational, planning and time‑management skills with the ability to prioritise tasks and manage multiple deadlines.
* Experience arranging company meetings, conferences and workshops on behalf of executives.
* Strong written and verbal communication skills, able to communicate effectively at all levels.
* Proven ability to handle confidential and sensitive information with discretion and professionalism.
* Proactive approach, able to spot conflicts early and resolve them in a timely manner.
* Advanced computer skills, including proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint, SharePoint) and other relevant software.
* High attention to detail and accuracy.
* Ability to work independently with minimal supervision and to tight timescales.
* Flexible, adaptable approach and positive attitude willing to take on new tasks.
