Job Title: Executive Assistant to Teddie & Levi (Also known as: EA to the Founders)

Works With: Everyone in the team

Eligibility: Must have full right to work in the UK


Overview

We’re looking for a highly organised, proactive Executive Assistant to provide seamless support to Teddie & Levi, our Co-Founders, at PerfectTed. In this fast-paced role, you’ll be responsible for managing their calendars, coordinating travel, handling confidential information, and keeping them on track with their daily priorities.

Your role will be key to ensuring the smooth running of their day-to-day operations, allowing them to focus on strategic decisions and the growth of the company. You’ll be working closely with the leadership team and supporting a variety of tasks across the business.


Key Responsibilities

* Act as the gatekeeper for Teddie & Levi’s schedules, managing their calendars and prioritising meetings and tasks
* Coordinate daily, weekly, and monthly agendas for meetings and events
* Organise all logistics for internal and external meetings, including preparing agendas, materials, and follow-up actions
* Manage travel arrangements, including flights, accommodation, ground transport, and itineraries for Teddie & Levi
* Ensure all travel logistics run smoothly, including last-minute changes and ensuring their time is optimised
* Prepare travel packs with detailed itineraries, agendas, and relevant documents
* Handle correspondence (emails, phone calls, messages) and draft replies where needed
* Build and maintain relationships with key internal and external stakeholders, clients, and partners on behalf of Teddie & Levi
* Represent them professionally in meetings and communications with a high level of discretion


Project & Task Management

* Support Teddie & Levi on key projects by managing timelines, tracking deliverables, and ensuring tasks are completed
* Maintain and organise important documents, contracts, and notes for easy access and sharing
* Keep Teddie & Levi updated on project progress, team activities, and key decisions needed
* Conduct research on a wide range of topics, from industry trends to personal projects
* Prepare briefings and reports for Teddie & Levi, summarising important information and recommendations
* Assist in drafting presentations and reports for meetings and events
* Provide personal support when needed, including handling personal scheduling, errands, and special requests
* Manage and plan events or special projects, including team off-sites, travel planning, or personal milestones


Requirements

* 2+ years of experience as an Executive Assistant or similar role, supporting senior-level executives
* Exceptional organisational and time management skills with the ability to manage multiple priorities
* Excellent communication skills, both written and verbal, with a high attention to detail
* Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other common tools (Slack, Notion, Zoom)
* Ability to maintain confidentiality and exercise discretion with sensitive information
* Positive, flexible, and able to work under pressure in a fast-paced environment
* Experience working in a startup or high-growth environment
* Familiarity with PerfectTed’s operations and culture
* Event planning or project management experience
