An exciting opportunity has arisen for an enthusiastic and self‑motivated individual to join the Specialist Weight Management Service, providing high‑quality administrative support to our team.

We are seeking a well‑organised team player with excellent communication skills and a can‑do attitude, who thrives in a busy, challenging yet rewarding environment.

In this role, you will manage letter queues, shared email inboxes, including responding to or circulating voicemail messages, requesting information from GP's / other hospitals, and act as a key point of contact for day‑to‑day enquiries. You will manage work queues, ensuring follow‑up appointments are booked in a timely manner and will help achieve our department's Advice and Guidance targets. The postholder will also provide general administrative support across the service to ensure smooth and efficient service delivery.

This is a hybrid role, incorporating a combination of onsite and home working.


Main duties of the job

To deliver and maintain a professional service to the Weight Management Service within the Wolfson Diabetes & Endocrine Clinic and to all its users, relatives and colleagues.

Person Specification


Qualifications

* Educated to GCSE level or equivalent.
* NVQ level 2 Customer Service/ Business Admin /ITQ or equivalent experience.
* Typing qualification or equivalent.
* Secretary qualification or equivalent.


Experience

* Experience of working in a busy office environment or reception role.
* Experience of prioritising, planning and organising own tasks.
* Working with guidelines.
* Experience of customer service or dealing with the public.
* Experience of IT packages – Microsoft Office.
* Previous experience of working in the NHS.
* Previous experience of working within medical records.
* Experience of call handling.
* Experience of dealing with difficult situations and confrontations.


Knowledge

* Understanding of confidentiality and data protection.
* Understanding of customer service.
* Knowledge of the Trust including awareness of the Trust's priorities.
* Knowledge of Trust information systems.
* Knowledge of Medical Terminology.


Skills

* Ability to work as part of a team.
* Good communication skills including telephone, email and face to face.
* Ability to follow processes and procedures.
* High level of ability to organise and manage own time keeping to schedule and deadlines.
