We are looking for a talented individual to play an essential role in supporting the operational success of the EMEA Marketing and Loyalty department\. Reporting to the Director, Strategy and Planning \(EMEA\), this position manages the purchase order and invoice process for the entire department, maintaining and updating the Marketing campaign database and producing regular planning status updates and reports\. What will I be doing? Working closely with the Snr Manager, Budget Planning and Snr Manager, Marketing planning and operations, the Invoice and Planning Executive responsibilities include: Raise purchase orders and process a wide range of invoices for the entire EMEA Marketing & Loyalty team Assist in the setting up of new suppliers and manage any changes to existing marketing vendor details Reconciliation of vendor statements to ensure any differences are resolved Proactively chase internal teams to obtain Statement of work, purchase orders and invoices to ensure all billing deadlines and monthly cut\-off dates are consistently met Expedite payments where necessary to maintain supplier relationships and avoid service disruption Create and update Microsoft Excel based trackers, monitor invoice approval workflow and follow up with relevant stakeholders Handle a broad range of queries across marketing, providing prompt and effective resolutions, becoming the invoice specialist for the department Maintain and update the marketing campaign database \(AirTable\), proactively chasing internal campaign managers for updates Support on identifying and implementing technical updates to the database Assist in preparing and maintaining all marketing planning weekly reports, roadmaps and internal updates and other ad hoc tasks as may be assigned by the business from time to time What are we looking for? You have these minimum qualifications: Excellent attention to detail, with the ability to maintain a high level of accuracy Effective communication skills \(verbally and in writing \) with a range of different stakeholders across marketing Strong IT skills, including a good working knowledge of Excel, Word or PPT \(or equivalent\) Working knowledge of creating and maintaining trackers A flexible, pro\-active approach to work including the ability to prioritise work and on your own initiative Ability to work well under pressure Absolute discretion and confidentiality regarding sensitive information It would be useful if you have: Experience of working in a global/multinational company or a marketing department\. Experience in data entry, invoice processing and managing external vendors Experience in marketing or administrative roles Finance or Accounts Payable qualifications preferred but not mandatory e\.g\.
