From eco-friendly initiatives to community engagement programs, we strive to make a positive impact on both the environment and the lives of those around us. ​ What we are looking for We are currently seeking a Hospitality and Sponsorship Co-ordinator - FTC to join our Sales team, based in our offices at the racecourse in Ascot, Berkshire. ​ This is a full time, temporary role from January to end June 2026. ​ What you’ll be doing Racing/Partnership Operations Support the Hospitality Operations Manager with the planning and on-day delivery of Royal Ascot and Ascot Racedays across Fine Dining Support the Hospitality Operations Manager organise and act on pre-raceday information, such as catering requirements, branding allocations, digital presence, racecard advertising, race trophies & ‘Best Turned Out’ awards Liaise with and look after sponsors on racedays, including assisting with the judging of best turned-out horse awards, trophy presentations​ Deliver table plans, box plans & dispatch reports to assist with the build-up of a raceday Manage all customer dietary requirements and log on the Fine Dining/Ticketing/CRM systems Report on all debtors and keep sales team aware of unpaid orders Be confident in dealing with customers either on the phone or face-to-face Assist the Hospitality Operations Manager in managing and delivery inventory on the Fine Dining Sales System Liaise closely with 1711 (catering team), to ensure smooth delivery of fine dining ​ Sales/Agency Administration Support the Agency Sales Manager in delivering fine dining bookings Process payments as required on booking system Assist where required with dispatching all Fine Dining packages Chase outstanding payments and Royal Enclosure forms Skills and experience you can bring Experience in an administrative role Comfortable in a client facing role High standard of oral and written communication at all levels Computer literate with a good standard of ICT knowledge including Microsoft Office & Excel What you can expect from us A best-in-class welcome with a tailored induction and racecourse tour, as well as a wide range of training schemes to help with your learning and development ​ Access to a range of wellbeing support for yourself and your family including a dedicated Employee Assistance Programme and Healthcare support app with 24/7 virtual GP access ​ Opportunity to make an impact in our Volunteer week with a day out of the office to support local community and charity partners ​ Time Off in Lieu (toil) for working race days ​ Clothing and hat hire ​ Complimentary race day entry for friends and family ​ Exclusive discounts in local shops and cafes ​ Exclusive discounts from selected partner brands and suppliers And let’s not forget, invitations to our monthly social nights as well as annual parties and afternoon-teas to celebrate our most special occasions throughout the year. ​ What sets us apart from the rest We take pride in our commitments to make a positive change for now and future generations to come, whether through our Diversity and Inclusion strategy and training programmes, our award-winning ‘Racing To Zero’ sustainability actions, or our forward-thinking employee benefits including flexible working and menopause policies, as well as health and EAP support access.
