Title: Collections Special Project Coordinator / Preparator
Reports to: Lead Preparator / Museum Registrar
Status: Full time, one-year assignment with an option to renew
Background
The Birmingham Museum of Art seeks a Collections Special Project Coordinator / Preparator to join a staff composed of two preparators, an Assistant Lead Preparator, and a Lead Preparator in a fixed‑term position. We are seeking a colleague who values collegiality and collaboration.
The Collections Special Project Coordinator / Preparator will work on a recently acquired collection of works by an American artist, consisting of 86 paintings and works on paper. The Project Coordinator / Preparator will be responsible for completing condition reports for all objects, working with Conservation to arrange treatment by external conservators, and matting and framing the works for display in accordance with accepted museum standards and practices.
Additional responsibilities include collaborating with the Preparation and Registration teams to house the collection in the museum’s storage spaces and managing logistical and administrative tasks, such as utilizing TMS to update location and produce documentation, and creating and maintaining object files.
This is a full‑time, twelve (12)-month assignment with an option to renew and includes a full benefits package. The Project Coordinator / Preparator will report to the Lead Preparator and Museum Registrar and will work closely with members of the Registration, Conservation, and Curatorial teams.
Responsibilities
* Draft and coordinate the overall schedule for the project to completion
* Unframe, and re‑mat and frame all 86 objects to get them display‑ready
* Coordinate contract conservation for the collection of works, and assist with object handling and review, as well as packing and crating as needed
* Coordinate photography of all objects
* Physically move objects to the designated work location or install them in the museum
* Complete condition reports for all 86 objects
* Create hard‑copy object files for Registration
* Keep documentation for collection updated digitally
* Audit and maintain hard‑copy object files for Registration
* Other Prep duties as assigned
Ideal Experience and Skills
* Experience working with a museum Preparation team, or experience handling, installing, and preparing artworks for display
* Ability to work independently
* Proficiency with Google Drive
* Strong organizational skills with strict attention to detail and accuracy
* Excellent time management, planning, and teamwork skills
