Job Overview An exciting opportunity has arisen for an enthusiastic and highly organised individual to join our AMD Service. The post is based in Wrexham Hospital and will provide effective and efficient running of the AMD Pathway by way of processing referrals into the service in a timely manner, being first point of contact to patients and providing the AMD team with general administrative support. The role involves being an integral member of the Admin Team working under direction from the Pathway co-ordinator and Ophthalmology Speciality Manager and requires co-ordinating and administering the pathway and processing patient correspondence. The ability to speak Welsh is desirable for this post; English and/or Welsh speakers are equally welcome to apply. Main duties of the job Main duties include: Help and support all members of the team by having a flexible approach to both workload and working pattern through management of own workload and providing advice and mentoring of new members of staff. Process referrals forms to ensure patients are put on the AMD waiting list using the hospital computer system (WPAS). Check patient demographic on receipt of referral ensuring patient fulfils the criteria for the AMD service. Inform Line Manager of any anticipated problems related to patients being seen and treated within their agreed waiting time. Arrange, book and contact patients to fill clinics working to patient booking rules. Maintain a database to monitor patient progress with the AMD Service, recording of referral information and relevant patient feedback information. To ensure appropriate scheduling of clinics and appointments are made within a specific timescale alerting Pathway Coordinator and Speciality Manager of any lack of capacity and seek advice for a solution. Typing of clinic letters using EPRO system. Print confirmation of appointment letters and dispatch to patients. Person specification Qualifications Essential criteria Educated to NVQ level 3 or equivalent NHS experience. Typing RSA Stage III or equivalent qualification/experience OCR Stage 3 and Word processing or equivalent qualification/experience Knowledge/Experience of Medical Word Processing and Medical Terminology Good general education to include English and Maths Desirable criteria AMSPAR Medical Secretarial Qualification NVQ in administration ECDL Experience Essential criteria Proven Administration/Secretarial Experience Computer literate and experience in using Office, Word and Excel Experience of working as part of a team Touch typing & Audio typing with high level of accuracy Knowledge of Minute taking Previous experience in a health care environment Desirable criteria Experience of working in NHS setting (Primary/Secondary Care) Knowledge Essential Criteria Excellent IT skills Organisation – ability to manage diaries, set up filing systems, work to deadlines and prioritise work load. Able to use electronic information systems. Good communication and interpersonal skills over the telephone, in person and by letter. Ability to prioritise and organise workload effectively. Excellent verbal and nonverbal communication skills Ability to concentrate and focus on tasks with frequent interruptions Ensure all filing is undertaken in a timely manner and accurately Proven working knowledge of RTT and waiting list management within the NHS Booking of patient appointments Desirable criteria Clinical governance Working knowledge of WPAS Personal Qualities Essential Criteria Flexible to working hours dependent on the service needs. Enthusiastic and motivated. Able to use own initiative Ability to cope under pressure Desirable criteria Working to relevant remit Other Relevant Requirements Essential criteria Complete Mandatory Training and attend training sessions pertinent to the post i.e. Myrddin, Welsh Demographic Service, Welsh Clinical Portal, Referral to treatment etc Desirable criteria Ability to speak Welsh is desirable
