Administrative Clerical Secretary Bladder & Bowel Service (Adults), Band 3 (15 hours a week)
The post-holder will provide an efficient, confidential and professional secretarial service to the Bladder and Bowel Team. This will include administration and secretarial support to enable provision of patient care and speciality services including the administration of the delivery service for continence products. Good communication with patients, relatives, general practitioners and other hospital staff is essential to ensure a proficient, high-quality service for patients and clinicians. The post-holder will be expected to work as part of the support team and will report to the Secretary Supervisor.
Additional working pattern details: Tuesday and Thursday
Main duties of the job
* Typing correspondence to patients, GPs, medical staff and any other required addressee following clinical attendance or other patient contacts as directed by the secretarial supervisor
* Tracking of results/ appointments and highlighting to the clinical team members any results, correspondence or patient queries that need response and taking action e.g. booking
* Using speciality databases for recording patient information/clinic activity for audit/survey purposes, as well as sending out any associated paperwork. Regular audit of data is undertaken and decisions can then be made by the department/team as to appropriate service improvements.

Job responsibilities
* Regularly informing the secretarial supervisor about progress and flagging up as a matter of urgency any issues, for example, capacity or delays due to internal or external factors, difficult queries from patients, etc
* Diary management, including making appointments, booking meeting dates and venues, organising and distributing paperwork as required by the clinical team/supervisor, taking minutes.
* Operate the home delivery service for continence products for service users and care home users, setting‑up new service users on the system and keeping service users updated with any delays to their orders.
* Supporting the Bladder and Bowel Nurse Specialists with their additional responsibilities, such as clinical governance, Clinical Tutor role, etc. This may include arranging training days and teaching sessions, organising visitors, etc.

Person Specification
Qualifications, Knowledge and Experience
* GCSE English & Maths at Grade C or above or equivalent
* Computer literate in Microsoft Office packages ( word, excel, outlook )
* Good command & understanding of English grammar
* Excellent verbal & written communication skills including attention to detail
* Pervious experience of dealing with members of the public
* Experience & ability of using own initiative, prioritising workload & organisation skills
* Appropriate experience in a hospital or office environment
* Ability to prioritise workload and work deadlines
* Ability to deal with telephone calls / typing letters with potentially distressing or emotional content
* Typewriting / word processing RSA level 3 or equivalent practical experience
* NVQ in administrative level 3
* Knowledge of NHS systems - Trakcare, EPR, Infoflex
* Understanding and previous experience in medical terminology
* Previous experience working in a busy office environment
* Experience of data entry, maintaining databases & data validation of records
