The Creative Producer will work across all events within the agency, ensuring multiple activations run smoothly and the internal team are equipped, motivated and inspired to deliver an astounding experience to our clients. They will take responsibility for both liaising with the client and the delivery of quality experiential work that meets their bespoke needs, going above and beyond to create highly memorable and atmospheric experiences.

Success in this role comes from the ability to lead and inspire others inside and outside the agency. Naturally, this role also requires both a creative and commercial mindset when balancing budgets while bringing briefs to life.

You’ll be working closely with the Creative and Production teams and will work across a range of projects for a huge selection of brands, helping to develop graphic and visual concepts for a wide range of uses including print, packaging, large format event graphics and window schemes. You’ll be expected to drive projects forward and deliver work to a high standard and within short deadlines, combining a passion for ideas with an uncompromising eye for detail and craft.

You’ll be hugely passionate about what you do and be excited to further develop your skills within a friendly and fast paced agency environment. We’re looking for someone who is naturally proactive and likes to get stuck in!

WHO YOU’LL BE WORKING WITH:

* Internal: As a Creative Producer (CP), you’ll be guiding your team of Production Assistants and Runners, making sure they’re supported and developing in their roles. You’ll juggle your own project management responsibilities while lending a hand on senior team projects whenever needed.
* External: You’ll connect with a range of clients, from senior directors to teams on the ground. You’ll also work closely with expert suppliers—think set builders, lighting pros, tech teams, and stylists—to make sure every detail of the activation is spot on.
* Line Manager: You’ll report directly to the Production Director, keeping them updated on your projects, flagging any challenges, and helping to ensure everything runs smoothly. You’ll also team up with senior staff on key projects, supporting them where necessary.

WHATS EXPECTED:

Your role will include, but is not limited to, the following duties:

Project Management

* Brief Management: Capture, interpret, and respond to client briefs, ensuring clear objectives are set from the outset.
* Budget and Timeline Oversight: Take full responsibility for project delivery on time and within budget from inception to final wrap-up. You will manage mid range budgets, ensuring all financial aspects are in line with client expectations. You will provide regular budget updates to the senior team and report to clients on financial status, making recommendations when adjustments are necessary
* Client Contact: Lead the day-to-day client communication, providing regular updates, resolving concerns, and maintaining strong relationships, with senior management support when needed.
* Creative Development: Oversee the development of creative elements, from mood boards and set design to prop sourcing, styling, and production.
* Post-Event Evaluation: Lead the post-event evaluation process to review project successes and areas for improvement, collating feedback and ensuring future improvements are implemented.
* Sustainability Focus: Actively promote sustainable and recyclable concepts in project execution, minimise waste, and support the team’s broader environmental goals.
* Event Delivery: Oversee the on-site event delivery (both UK and overseas), ensuring seamless execution, while sometimes working evenings and weekends as required.
* Invoice Management: Ensure all invoices are sent, followed up, and paid on time. Maintain accurate records of all project expenses and receipts.
* Financial Reconciliation: Take responsibility for project reconciliation, ensuring all expenses are tracked and reports are up to date.

Client Management

* Communication: Maintain effective communication with clients, balancing meeting frequency to ensure high-quality feedback without overloading or under communicating.
* Client Onboarding: Lead the client onboarding process, aligning with our retention strategy to ensure a smooth transition and build lasting relationships.
* New Business Development: Proactively pitch new event ideas to existing clients, with the support of the New Business Manager, contributing to business growth and revenue generation.
* Client Retention: Play a key role in enhancing the client retention plan, identifying new opportunities for account growth and expansion.

Team Management

* Support and Development: Provide mentorship and management support to junior team members, including Production Assistants, and Runners. You will guide them in their day-to-day responsibilities, ensuring they have the resources and knowledge to succeed in their roles.
* Collaboration: In addition to managing your own projects, you will also support senior team members, on larger projects when necessary, depending on the current workflow.

Supplier and third-party management

* Supplier Relationships: Maintain strong relationships with suppliers, ensuring high-quality services at competitive prices. Negotiate costs and secure multiple quotes to ensure the best value.
* Supplier Onboarding: Onboard new suppliers, aligning them with project expectations, timelines, and quality standards. Communicate regularly to address any issues promptly.
* Venue and Talent Management: Identify and book venues that align with the project’s budget and brand identity. Manage logistics and ensure all site-specific operations run smoothly. Book talent such as influencers and artists, ensuring alignment with the brand’s vision and negotiating contracts.
* Logistics and On-Site Management: Oversee the coordination of talent, suppliers, and on-site staff to ensure seamless event delivery, from setup to breakdown. Ensure all teams adhere to timelines and budgets.

Office

* General Office Management: Support day-to-day office, maintaining a clean and organised environment. Contribute to marketing efforts and assist with financial administration when required.
* Flexibility: Be available to travel to Wandsworth and work outside regular office hours as needed, ensuring projects stay on track.

SALARY & TIME COMMITMENT

This role is predominantly office based (we imagine at least 2-3 days of your time would be in the office) and we are ideally looking for someone to work full time.

Salary would range between £40,000 – £50,000 depending on experience. In addition, there is a commission scheme as part of this role, and you can earn additional fees.

Please note we review salary regularly to make sure the team moves in line with the business as well as their individual efforts!

MORE ABOUT YOU:

* You have a proven track record of excellent client account management, producing events for high profile brands.
* You will be able to demonstrate considerable experience in writing compelling presentations, producing schedules and itineraries required for event delivery.
* You will be resilient under pressure with the ability to maintain a high level of accuracy & adhere to high standards of quality when working to tight deadlines.
* Proficient and an experienced user of Microsoft Office suite are essential, particularly Word, PowerPoint & Excel.

WHAT YOU MIGHT HAVE DONE BEFORE:

* To be considered for this position we are looking for candidates with 3-4 years min experience working within an event or experiential agency. We are looking for experience in delivering integrated campaigns involving events, knowledge of the whole creative process and the ability to interpret a brand and develop creative concepts.
* You will have demonstrable experience with managing third-party suppliers (i.e., promotional staff, artists/specialists, Venues, suppliers, food and beverage, contracts) and external freelance support whilst demonstrating extensive knowledge of the events industry (venues, caterers, launches, experiential and promotional events). You will have experience managing and mentoring team members. You will have proven capability to input into project budgets; up to £200,000.

WHY JOIN US?

* Collaboration – As pretty much all of our projects include site visits, handling of physical items, deliveries and face to face brainstorms, we recommend 2-3 days in the office per week for collaboration, to get the best results. Tuesdays are days we ask people to come in, and we’ve realised that 2-3 days per week in the office is the average that people come in and that works well.
* Flexi Working Times– The team can work their 7.5 hours with a start and finish that suits them. This is completely up to the teammate to decide on their own accord, but of course altered working hours must not disrupt the wider team or the paying client.
* Meeting Free Fridays – This is to give the team time to wrap up their work as well as a good amount of time, uninterrupted, to get stuck into deep work.
* Training – We are proud to offer training to all teammates including group training days with varying themes and topics, as well as offering teammates further training to upskill for the maximum value of £500 per year.
* Duvet Days – Our team have 2 duvet days per year. A duvet day can be taken whenever a teammate needs a day off at random and they haven’t already requested annual leave. Maybe they have just woken up and feel like they need to be alone or they are super tired and just want to curl up on the sofa. These days are for the team member.
* Volunteering Day – We offer teammates up to 2 days per year of volunteering on company time – which is up to the teammate to use how they wish.
* Holiday – We offer 28 days annual leave per year. With 3 days of this holiday entitlement to cover the period of the Company shutdown between Christmas and New Year. After a teammate has completed two years working at Heaps + Stacks, they are entitled to 1 day extra holiday per year for each additional year of service, capped at a maximum of 33 days holiday per year (excluding Bank Holiday and National Holidays).
* After three years of service with Heaps + Stacks, team members are entitled to a one off, £1000 bonus.
* After five years of service with Heaps + Stacks, we offer team members the opportunity to take a one month fully paid sabbatical.
* Mobile Phone Allowance – Each month we will pay £20 towards the team members mobile phone bill. There’s nothing that they need to do; this will be added into their pay each month.
* Maternity / Paternity – We will pay enhanced maternity/paternity/adoption pay if the team member has been employed with us for 37 weeks at the 15th week before their Expected Week of Childbirth. The pay is broken down into:
* Twelve weeks full pay.
* Followed by six weeks of half pay.
* Followed by twenty-one weeks of Statutory Maternity Pay flat rate.
* Expensed Gallery Trips – We offer each team member £25.00 to expense for a visit to a gallery or exhibition every month.
* Good Egg – At the end of the month the team votes who has gone above and beyond that month, and whoever receives the most votes is rewarded with a Selfridges voucher.
* Work Abroad – Up to one week per year to work aboard, as long as it doesn’t cause stress to the team! (Full T&Cs to be confirmed if successful).
* You Move, We move – We want our team to feel settled. So, if they are moving house, they can book one van per year on us! (Full T&Cs to be confirmed if successful).
* Quarterly Celebration – Every quarter, we will be celebrating our successes together as a team. This might be a team trip to the pub, or an arty or active activity! We have an in-house social committee that is dedicated to ensuring something fun and magical is planned for us all!
* Bonus & Profit Share – We also offer a range of bonuses to employees including introduction, business performance and new business bonus. Full T&Cs will be given to all successful candidates.
* H + S Library – Buy a book on the gold card (this can be audio or hard copy) for the value of up to £20. If it’s a hard copy, please bring it into the office once finished. We suggest buying 2nd hand (to save the world!). If it’s audio, don’t sign up for a subscription!
* Cycle to Work – The cycle-to-work scheme allows teammates to obtain commuter bikes and cycling accessories through Heaps + Stacks, spreading the cost over 12 months and making savings through a tax break.
* Health Care – Once the teammate has completed 1 year with us, they can access the healthcare policy provided by Bupa!
* Eye Test – We’ve got your eyes covered! Claim back up to £25 towards an annual eye test at any optician.
