Job Summary
Performs both administrative and clinical functions to support smooth and efficient clinical service or practice operations, under minimal supervision. Performs administrative duties related to patient visits including scheduling, check-in, check-out duties (performs all duties of the other levels at highest proficiency level).
Performs routine administrative and clerical duties relating to a clinical service or physician practice office. Makes patient appointments and maintains appointment records. Assists callers with routine inquiries, and schedules appointments. Processes patient billing forms and scans documents to patient medical record/LMR.
* Acts as "Super User" for scheduling, registration, and billing systems. Provides assistance and training to others in these areas. May perform more complex or specialized functions (i.e., surgical scheduling, schedule changes/blocking) at a more advanced competency level.
* Provides functional guidance to Office and Practice Assistants.
* In conjunction with Supervisor, oversees daily activities of practice staff.
* May be required to accept co-payments. Handles, screens, and/or takes messages related to prior authorizations, provider questions, prescription refills, and test results.
Qualifications
Education
High School Diploma or Equivalent required
Experience
Office experience 3-5 years required
Knowledge, Skills, and Abilities
* Strong technology and MS Office skills – Advanced Outlook, Word, Excel, PowerPoint. Knowledge of office operations and standards and understanding of office procedures including filing, copying, scanning, printing, and faxing.
* Ability to use phone system and manage more non-routine phone calls and solve routine issues as appropriate.
* Effective written communication tailored to the audience; ability to convey information clearly and effectively.
* Understanding of written sentences and paragraphs in work-related documents; ability to compose/edit emails, memos, and letters; take accurate messages.
* Self-management of time and ability to manage others' time effectively.
* Well-organized with good time management skills to handle multiple tasks, follow protocols, and work within systems.
* Ability to proofread and edit written documents.
