Facilities Manager – Alternative Heat Ltd
Location: Northern Ireland (Banbridge / Mallusk)
Hours: 38 hours. 8.00am to 5.00pm Mon to Thurs & 8.00am to 3.00pm Friday

Role summary: The In-House Facilities Manager is responsible for overseeing the management, maintenance, and operations of our regional offices, stores, warehouses and fabrication facilities. This role ensures the efficient running of all facilities, including fixed assets and building fabric, while ensuring compliance with health, safety, and regulatory standards. This position requires hands-on leadership in facility maintenance, supplier management, budget control, and strategic planning to support business operations.
Key Responsibilities
* Facility Management & Maintenance: Oversee day-to-day operations and maintenance of all office and warehouse facilities.
* Develop and implement preventative maintenance schedules for critical infrastructure (HVAC, electrical, plumbing, security).
* Ensure facilities remain in optimal condition through planned and reactive maintenance strategies.
* Coordinate building repairs, renovations, and workspace changes as needed.
* Manage cleaning, security, and landscaping services to maintain high facility standards.
* Asset Management: Maintain an up-to-date inventory of fixed assets (buildings, HVAC, IT infrastructure, furniture, generators).
* Implement asset tracking, monitor usage, maintenance schedules, and depreciation.
* Collaborate with IT and procurement to ensure assets are procured, allocated, and disposed of effectively.
* Health, Safety & Compliance: Ensure facilities comply with health, safety, fire, and environmental regulations.
* Conduct regular inspections, audits, and risk assessments; implement corrective actions.
* Coordinate with regulatory bodies and emergency services to maintain compliance.
* Promote a strong safety culture across locations.
* Source, negotiate, and manage contracts with third-party service providers (maintenance, security, cleaning, catering).
* Monitor contractor performance and adherence to SLAs.
* Plan and oversee office layout changes, furniture allocation, and workspace optimization.
* Support business growth by ensuring facilities can accommodate workforce expansion.
* Manage office fit-outs and refurbishments, delivering projects on time and within budget.
* Budgeting & Cost Control: Develop and manage the annual facilities budget; identify cost-saving opportunities without compromising service quality.
* Monitor facility-related expenses (utilities, repairs, maintenance contracts).
* Sustainability & Energy Management: Implement energy-efficient initiatives, monitor energy usage, and ensure regulatory compliance and sustainability goals.
* Emergency & Business Continuity Planning: Develop and maintain business continuity plans; ensure backup power solutions are in place and operational.
* Essential capabilities: knowledge of building maintenance, facilities operations, asset management; strong health & safety, fire safety, and risk assessment awareness; leadership and team management; multi-location prioritization; vendor negotiation; budget management; facility management software proficiency; problem-solving and decision-making; effective stakeholder communication.
Qualifications & Experience
* Required:
* Bachelor's degree or equivalent in Facilities Management, Engineering, Business Administration, or related field.
* Minimum 5+ years of facilities management experience, ideally across multiple locations.
* Strong knowledge of building systems (HVAC, electrical, plumbing, security, fire safety).
* Experience managing office and warehouse facilities.
* Familiarity with health & safety regulations (e.g., OSHA, HSE, ISO 45001).
* Proven vendor and contract management experience.
* Proficiency in facility management software and asset tracking systems.
* Preferred:
* Certification in Facilities Management (IWFM, IFMA, NEBOSH, BIFM, or similar).
* Experience with energy efficiency initiatives and sustainability programs.
* Project management experience (office fit-outs, renovations, relocations).
