We have an exciting opportunity for a proactive and customer-focused individual to play a key role in our Client Services team in our Cambridge office.

The role

You'll play a key role in delivering a high-quality, responsive service that supports our colleagues, partners, and clients-ensuring their needs are met with professionalism and efficiency across all aspects of our internal operations and client-facing services.

This role is 35 hours, Monday - Friday, rotating weekly shifts between the hours of 8.00am - 6.00pm (with 1 hour lunch break).

The person

We're seeking a professional, reliable, and collaborative individual who will uphold Mills & Reeve's values at all times. You'll demonstrate excellent client care by acting with courtesy and professionalism, maintaining accurate records, and ensuring a positive experience for both internal and external clients.

* Professional conduct & compliance: You'll maintain high standards of personal presentation, confidentiality, and ethical behaviour, complying with firm policies including anti-money laundering and diversity.
* Outstanding client service: You'll be proactive in supporting client needs, ensuring accurate data management, and representing the firm positively in all interactions.
* Team collaboration: You'll work effectively with colleagues across departments, share knowledge, support others with workload management, and contribute constructively to meetings and team dynamics.
* Workload management: You'll meet deadlines, communicate effectively about capacity, and take initiative in problem-solving and task ownership.
* Clear communication: You'll handle enquiries professionally, manage calls and emails with courtesy, and follow internal procedures for absence and leave.
* IT proficiency: You'll be confident using key software tools including Outlook, Teams, Mercury, Word, iManage, and other relevant systems.
* Personal development: You'll take ownership of your growth, seek feedback, identify training needs, and actively pursue opportunities to improve your performance and contribute to the team.
The activities

You will welcome visitors to the firm in a professional and courteous manner, manage meeting room bookings, coordinate catering and AV/IT setups, and ensure the reception area and client lounge are always tidy and well-presented. You'll handle incoming calls and emails efficiently, ensuring queries are directed appropriately and in line with the firm's client contact policy.

You will also support wider facilities operations, including managing post and courier services, conducting daily building inspections, and maintaining office equipment and supplies. You'll assist with office moves, reprographics tasks, and general maintenance, ensuring the workspace remains safe, functional, and well-stocked.

Administrative responsibilities include monitoring shared inboxes, supporting file and deed audits, and liaising with contractors and service providers. You'll also play an active role in health and safety procedures, acting as a fire warden and first aider, and supporting emergency protocols.

Flexibility is key, as you'll be expected to cover colleagues during absences and assist with ad hoc tasks across the team. This is a varied and hands-on role that requires excellent organisational skills, attention to detail, and a commitment to delivering outstanding service to both internal and external clients.

Pre employment screening
