Working as the Administrator / Exams Administrative Assistant you will work proactively with the Examinations Officer to maintain the effective operation of both internal and external exams to ensure the end-to-end processes are completed effectively in line with the policies of the school and those of the relevant awarding/external bodies. As an Administrator / HR Administrative Assistant you will receive full training in order to deputise for the Exams Officer in their absence. DUTIES Your duties as an Administrator / Exams Administrative Assistant will include: Assist in the preparation for and organisation of all exams, both internal and external Deal with any enquiries from staff, students, invigilators and parents quickly and efficiently Develop knowledge relating to exam regulations and procedures and keep up to date with all examination requirements Ensure that staff and students are aware of the relevant exam regulations, communicating these as necessary Receive and store all examination papers as they arrive and be responsible for all examination stationery Assist in the supervision and management of a team of external exam invigilators General administration to ensure the smooth running of exams on a day-to-day basis including being present at the start and finish of each examination Assisting with the preparation of the exam boxes to go out to exam rooms Checking candidate attendance at all exams Assisting with the dispatch of exam papers to the exam board/examiners as required by the regulations Be present on the days the school is notified of exam results in August Assist with arrangements for the distribution of exam results to students Deal with queries from students, staff and parents regarding exam results Assist with the receipt and distribution of exam certificates when they arrive in school Assist in maintaining an efficient filing system Deputise for the Exams Officer in their absence CANDIDATE REQUIREMENTS Experience in an administration / admin role Ability to work independently and creatively Good knowledge of Microsoft Office packages (Word and Excel), email and the internet Very good organisational and time management skills with the ability to prioritise workload both day to day and forward planning Willingness to work flexibly to support the smooth operation of the Exams Office Excellent written and verbal communication skills and be able to relate well with school staff, students, external candidates, parents and carers Team player with enthusiasm and perseverance Evidence of high level organisational skills, encouraging positive collaborative working practices Good interpersonal skills Curiosity and willingness to learn, improve and enhance personal development Self-motivated and proactive Good memory skills with the ability to retain and recall information as required Ability to maintain the highest level of confidentiality BENEFITS Friendly and sociable colleagues Free on-site car park Staff membership rates to the modern on-site Leisure Centre Good transport links Enrolment in one of the UKs largest public sector pension schemes A tax efficient Cycle-to-Work scheme through salary sacrifice The organisation is committed to safeguarding and promoting the welfare of children and young people and expects all staff and volunteers to share this commitment.
