Are you a recent graduate and/or have a couple of years experience in an administrative office based role? Our client, a fast growing and dynamic international software company based in London is looking for an administrator to contribute to the success of their new London office and briefing centre. Relocating to new offices in June, the new offices will have world-class presentation, meeting and briefing space for customers, colleagues and partners. This role is a part of a global operations team covering business services, travel and logistics, events, expense management and administration. Core work hours are 9am-6pm, the role is office based.
The main duties of the Office Coordinator role are:
1. Create a professional, positive and welcoming environment for colleagues and guests
2. Proactive management of front-of-house, meeting rooms and desk space
3. Clerical, administrative and logistical tasks inc. ordering supplies, office equipment, and processing invoices
4. Supporting sales team
5. Raising and tracking POs and processing invoices
6. Approving travel
7. Plan events, sourcing and ordering merchandise for events
8. Booking hotel accommodation
9. Book meetings and schedule events
10. Maintain internal databases
11. Submit expense reports
12. Maintain a filing system
