The Medical Secretary – Cardiology role provides comprehensive secretarial and administrative service to consultants within the Cardiology department, supporting high-quality, efficient patient‑centred care within acute services.
Shift Pattern
Monday – Friday
Responsibilities
* Provide comprehensive secretarial and administrative service to one or more Consultants and their teams.
* Act as focal point for help and advice to staff, patients and professionals regarding service enquiries and coordinate patient pathways.
* Complete personal assistant tasks: word processing, filing, audio‑typing, photocopying, letter composition, medical reporting and preparing straightforward responses to ensure efficient patient care.
* Manage Consultants’ diaries to ensure effective time‑management.
* Sort, distribute and prioritise incoming mail, deciding which documents are forwarded to consultants and which to other staff.
* Deal with telephone and face‑to‑face enquiries from staff groups, patients, relatives and carers, providing information, directing and prioritising queries to ensure efficient service delivery.
* Arrange appointments for referrals to appropriate clinics or investigative departments and facilitate admissions, taking urgency and wait times into account.
* Manage waiting lists to meet hospital waiting‑time targets.
* Liaise with departments to keep patient records up to date and accurate across inpatient, day‑care and outpatient investigations.
* Collaborate with the consultant’s team to plan clinic and on‑call rotas, communicating changes to department staff.
* Record and prepare draft minutes of meetings for review and approval by the consultant team.
* Type discharge summaries and clinic letters.
* Update TCI lists through TrakCare regarding patient admissions and transfers, as required.
* Develop and improve office and secretarial practices for better service delivery.
* Provide reasonable cross‑cover, including cross‑site working when necessary.
* Communicate with consultants regarding the provision of written information required for external agencies.
* Maintain Health and Safety responsibilities within the office area.
* Mentor administrative staff, promoting NHS Scotland core values of care, compassion, dignity, respect, openness, honesty and teamwork.
* Comply with GDPR, the Access to Health Records Act and all legislation concerning confidential data.
