REPORTING TO: REGIONAL OPERATIONS DIRECTOR

TYPE OF CONTRACT:12 MONTH FTC – MATERNITY COVER

THE ROLE

To lead in the delivery of the highest quality facilities management services to both occupiers and customers across a regional portfolio of retail parks. Properties currently in the region are in Orpington, Dartford, Woking and Thanet although other assets could be added to the region depending upon acquisition activity. To oversee the operational and technical service delivery and the management of relevant service partners and contractors. To ensure that all risks are appropriately managed or mitigated and that all aspects of the asset meet and maintain statutory requirements and remain fully compliant.

WHAT YOU’LL DO

Unmanned Sites

Operational Management

1. Take the lead on operational matters ensuring that high standards in respect of cleaning, repair and presentation are achieved and maintained
2. Undertake regular documented site inspections, uploading reports at the required frequency
3. Ensure the properties are maintained in a safe and secure state and where necessary arrange and supervise maintenance works via the relevant service providers
4. Regularly review operational processes and procedures to ensure both compliance and best practice are maintained
5. Ensure all equipment at sites is kept serviceable and fully maintained in line with manufacturers recommendations
6. Implement car park management strategies to maximise available parking for customers
7. Deliver all services within pre-agreed budgets, carrying out tenders and raising orders as required
8. Assist with the drafting of service charge budgets

Occupier Liaison

9. Be the first point of contact for issues raised by occupiers, customers and via the helpline & website and to resolve these as quickly and efficiently as possible
10. Regularly visit and liaise with occupiers to build strong relationships and to quickly resolve any service issues they may have
11. Carry out regular inspections to ensure that occupiers are complying with their repair and maintenance obligations and other management regulations
12. Report to the senior RFM & CM on changes in occupational status, alterations or other works taking place that have not been previously agreed

Relationships and Team Motivation

13. Develop a close working relationship with all suppliers and service partners to ensure that they fully understand the required standards and the aspiration to create places people prefer
14. Ensure all service partner site staff are trained to provide high quality customer service and understand their role in delivering the best possible customer experience
15. Establish appropriate external relationships to represent the interests of the owner and occupiers in the wider community

Sustainability and community

16. Implement and monitor the environmental strategy for each site, including waste and energy management, to meet British Land’s environmental and sustainability targets
17. Monitor and respond to issues that affect staff wellbeing
18. Ensure any charities working on site are authorised and appropriate paperwork and fundraising totals are logged on the landlord’s system

Health & safety

19. Ensure the hse policy is implemented and that all on-site staff are aware of their responsibilities and duties
20. Update the health & safety on-line reporting system and ensure all certification and identified actions are completed within the allocated time
21. Ensure a full set of risk assessments exist appropriate to each property and that permits are issued where required
22. Help prepare and ensure readiness of business continuity plans
23. Update site notice boards as required and ensure that occupier contact details are kept up to date and that they have up to date contact details for appropriate bl management

Principal responsibilities (manned sites)

24. Assist the on-site management in ensuring that the highest operational standards are maintained
25. Provide advice as to the best technical solutions available to resolve any maintenance issues or general service provision queries and assist with implementation as required
26. Provide support and guidance on ensuring properties remain safe and compliant

Additional responsibilities

27. Attend any site in the event of an incident or emergency situation and report back as soon as possible to appropriate personnel
28. Attend relevant CPD, conferences and trade shows to maintain industry knowledge and be aware of innovations and best practice. Make recommendations of what you believe could be adopted at our properties to improve service provision or improve efficiency

Responsiveness

29. To achieve all deadlines relating to health and safety reporting guidelines.
30. To ensure 100% compliance with all health and safety documentation
31. To ensure 100% compliance with all sustainability, environmental, and energy data requirements and requests
32. To respond in a timely manner to all head office requests for information

ABOUT YOU

Essential

33. Experience of delivering high quality FM services in a customer focused, complex and demanding environment
34. Robust technical background and practical experience of both hard and soft services
35. The ability to communicate effectively with a wide range of colleagues at all levels and with external stakeholders and contractors
36. Knowledge of health and safety regulations and best practice affecting site management.
37. Qualified to IOSH level
38. Flexibility and adaptability to changing business requirements
39. The ability to deliver value and operate within set budgets
40. Experience of multi-site facilities management

Desirable

41. Experience of working in retail or leisure
42. BIFM qualification or equivalent.
43. NEBOSH certificate
