We are seeking a professional, highly organised, and proactive Office Administrator to join our growing lift engineering company. This role sits at the centre of both office operations and field engineering activities, supporting day-to-day administration while helping coordinate engineers, service delivery, and internal processes.
We are looking for someone who is not only efficient and detail-focused, but who is also confident thinking beyond routine tasks — identifying improvements, solving problems, and supporting the wider team in smarter ways of working.
Key Responsibilities
Act as a first point of contact for incoming calls, emails, and service enquiries, directing communications appropriately.
Provide administrative and coordination support to field engineers, including job updates, documentation, and service activity tracking.
Maintain accurate data entry across internal systems, asset registers, and service records.
Assist with scheduling, diary management, and engineer coordination.
Prepare, file, and manage service documentation, reports, and compliance records.
Support work order processing, quotations, and customer correspondence.
Monitor office and operational supplies, ensuring documentation and administrative resources are maintained.
Identify inefficiencies or gaps in processes and propose practical improvements to support operational performance.
Assist management with ad-hoc operational tasks and shared team initiatives.
Requirements
Previous experience in an administrative or service coordination role preferred.
Confident using Google Workspace and/or Microsoft Office, with fast and accurate typing skills.
Excellent organisational skills and strong attention to detail.
Professional communication skills with a confident and polite telephone manner.
Able to prioritise workload, work independently, and adapt within a reactive engineering environment.
Comfortable using initiative and thinking creatively to resolve day-to-day challenges.
