Job Overview

An opportunity has arisen to join a fast-paced Workplace team as a Workplace Coordinator. You will work closely with the team to create an excellent environment for one of our prestigious clients. Building strong relationships internally with other departments and key stakeholders is essential to ensure all building users and visitors have a positive experience.

Main Duties

* Undertake quality control checks of customer-facing spaces.
* Complete meeting room checks to ensure users have necessary tools for meetings.
* Conduct floor walking and building audits, resolving faults as needed.
* Review and resolve outstanding faults impacting customers.
* Conduct site inductions for first-time visitors, ensuring compliance with policies.
* Manage shared mailbox requests.
* Engage with stakeholders and act as a conduit between them and the FM business partner.
* Prepare stakeholder communications.
* Liaise with suppliers.
* Manage workplace storage.
* Lead small FM projects and assist with larger projects, coordinating with stakeholders and contractors.
* Manage building furniture and coordinate site events.
* Coordinate DSE assessments and raise quotes as needed.
* Organize logistics for VIP visits.
* Review service delivery for improvements and cost savings.
* Support the Head of Workplace and Facilities Managers as required.

What We Are Looking For

* Experience in customer service environments.
* Excellent interpersonal and communication skills.
* Ability to work independently and make decisions.
* Experience with CAFM systems.
* Problem-solving skills and adaptability.
* Conflict resolution skills.
* Attention to detail and organization.
* Proficiency in Microsoft Office.
* Health & Safety qualification (e.g., IOSH) is desirable.
* Calm, patient, and polite demeanor.
* Team-oriented attitude.
* Flexibility for out-of-hours work.
