We are currently seeking a diligent and proactive individual to join our client’s team in the role of Business Support Officer, providing invaluable assistance to their Legal and Intellectual Property (IP) department.
The successful candidate will play a crucial role in supporting a new IP business to manage and maintain IP. The candidate will provide support on the management of intellectual property assets, specifically in the context of plant varieties, for a global licensing company.
Reporting directly to the General Manager, the primary responsibilities will include aiding in the management and maintenance of intellectual property assets. Responsibilities:
1. Database Management:
- Develop, maintain, and update an extensive database of intellectual property assets.
- Conduct regular audits to ensure accuracy and completeness.
- Organize and manage all intellectual property-related agreements.
- Track deadlines and provide timely reminders to stakeholders.
- Continuously enhance database management skills.
2. Intellectual Property Filing:
- Assist legal team and external partners in IP registration processes.
- Manage documentation such as powers of attorney and assignments.
- Ensure timely renewal of intellectual property assets.
3. Client Relationship Management:
- Utilize CRM system to update client and partner information.
- Ensure CRM data is up-to-date.
4. Reporting:
- Generate regular reports on IP status, agreements, and financial aspects.
- Assist in generating royalty and financial reports.
- Ensure accurate recording of financial terms in transactions.
- Analyze trends and provide insights for decision-making.
5. Collaboration and Communication:
- Facilitate communication between internal departments, legal teams, and external partners.
- Act as a central point of contact for IP-related inquiries.
6. Continuous Improvement:
- Identify opportunities for process enhancement in IP management.
- Stay informed about industry best practices and regulatory changes.
Requirements:
* Previous experience in administrative roles, preferably in intellectual property.
* Proficiency in managing complex data records.
* Familiarity with financial administration systems for large organizations, including invoice processing.
* Minimum academic qualification: National Qualifications Framework (QQI) Level 6 or higher in relevant disciplines such as Business Administration or Law.
* Strong attention to detail and organizational abilities.
* Excellent English communication skills; proficiency in Spanish or French is advantageous.
* Proficient in Microsoft systems, database management, and CRM software.
* Ability to work independently and collaboratively in a team.
* Flexible and adaptable to changing environments and technologies.
