You’ll act as a vital link between project managers, site staff, and consultants—keeping information flowing, documentation in order, and operations on track from mobilisation to project handover.
Key Responsibilities:
Document & Information Management
* Administer the cloud-based document control system, managing user access and file structure.
* Review and organise project documents to ensure compliance with standards.
* Provide basic training on the system and act as the main point of contact for queries.
* Work alongside the BIM team to maintain document protocols and best practices.
* Keep subcontractor records up to date and manage the pre-qualification tracking process.
Site & Project Mobilisation
* Prepare Health & Safety files and set up documentation at the start of the project.
* Manage signage requirements and coordinate printing needs.
* Maintain project directories and ensure accurate data entry into internal systems.
During Construction
* Produce weekly progress reports and maintain snagging lists.
* Manage site supplies, IT equipment, document printing and courier bookings.
* Oversee MSITE access, site inductions, and health & safety records.
* Organise meeting rooms, refreshments, and ensure PPE is available and in good condition.
* Attend meetings, take minutes, and distribute action points.
* Support the Considerate Constructors Scheme (CCS) process and evidence submission.
Project Closeout
* Compile and finalise Health & Safety and Operation & Maintenance manuals.
* Update the incident register and ensure all documentation is archived appropriately.
* Support the site shut-down and exit procedures.
What We’re Looking For:
Essential
* At least 1 year’s experience in administration or document control.
* Excellent organisational and time management skills.
* Strong communication skills, both written and verbal.
* Proficiency in Microsoft Office, especially Excel and Outlook.
* A sharp eye for detail and a solutions-focused mindset.
* A team player who can work independently when needed.
Desirable
* Experience with BIM Level 2 projects and document control.
* Familiarity with PAS1192/ISO19650 naming standards.
* Previous use of cloud-based document management tools such as Autodesk Construction Cloud (ACC).
What’s on Offer:
* Competitive salary, negotiable based on experience.
* 23 days of annual leave, including 3 for Christmas closure—rising with length of service.
* 2 paid volunteering days per year.
* Training and development opportunities.
* Cycle to work scheme and nationwide gym discounts.
* Life insurance (4x annual salary) and 24/7 employee assistance programme.
* Regular social events and a supportive, inclusive team culture.
If you’re ready to contribute to a high-impact project while developing your skills in construction administration, we’d love to hear from you.
