Role Summary The Executive Operations Assistant is the CEO’s trusted partner and a central coordinator for business operations. You will combine high‑level executive support with hands‑on operational oversight to ensure the firm runs smoothly and efficiently. This is a great opportunity for a resourceful professional who thrives in a flat hierarchy, takes ownership of tasks and enjoys solving problems autonomously. Key Responsibilities • Executive Support – manage the CEO’s complex calendar, workload schedule, meeting agendas, inboxes and travel logistics. • Operational Coordination – collaborate with the Business Operations Manager to organise team meetings and events, track action items, and remove administrative bottlenecks. • Process & Project Management – lead special projects to improve operational efficiency and document standard operating procedures. • Administrative Oversight – manage vendors, supplies, internal databases and compliance documentation. • HR & Staff Support – coordinate recruitment logistics, onboarding schedules, PTO tracking and staff queries. • Ad‑hoc Problem Solving – serve as the go‑to trouble‑shooter, taking ownership of issues and delivering swift, practical solutions. Requirements Required Experience & Skills • 3–5 years’ experience in executive assistant, office manager or operations coordinator roles (professional‑services background preferred). • Exceptional organisational, prioritisation and problem‑solving abilities. • Confident written and verbal communicator able to liaise at all levels. • Tech‑savvy: proficient with Microsoft 365 and modern project‑management tools. • Discreet and trustworthy when handling confidential information. • Self‑starter with adaptability, resilience and a growth mindset.
