We are seeking a Personal Assistant to Head of Operationsbased in Banbridge to be part of our growing team. The successful candidate will provide proactive, high level administrative support to the Head of Operations, enabling effective time management, prioritisation and the smooth day to day running of their remit. The role requires discretion and professionalism when handling confidential information. The postholder will act as the primary point of contact, supporting clear communication and collaboration across the Operations team | KEY RESPONSIBILITIES | Provide administrative support to the Head of Operations including coordinating day to day Operations department activities and tasks. Handle sensitive and confidential information with discretion and professionalism. Manage the Head of Operations diary including scheduling meetings, prioritising commitments, and anticipating conflicts to ensure an effective use of time. Collate and update Operations reports, working closely with Operations Managers and the Commercial team to gather relevant information. Coordinate meetings by preparing and distributing agendas, ensuring relevant information is provided in advance. Attend meetings as required, produce and circulate accurate minutes and actions and track progress on same. Produce and maintain corporate documents (e.g., project organigrams) Produce presentations for internal and external Operations meetings. Coordinate the planning and booking of Operations events and meetings. Collate availability of key personnel to maximise attendance and ensure effective meeting scheduling. Plan and maintain the calendar of recurring meetings and events, liaising with the Executive Assistant to the Directors to avoid conflicts and ensure alignment. Prepare and submit monthly expense claims for the Head of Operations. Liaise with the Travel Coordinator to ensure travel and accommodation bookings for the Head of Operations and other members of the team are made in a timely and cost-effective manner. | QUALIFICATION | Essential 5 GCSEs grades A-C, or equivalent to include Maths and English. Desirable 3rd level business related or Project Management qualification | EXPERIENCE & KNOWLEDGE | Essential Minimum of 2 years experience in an administrative or PA role in a fast-paced environment. Excellent IT skills across the MS Office suite particularly PowerPoint. Desirable Relevant experience working in the construction or MEP sector. Proficient in AI enabled presentation tools e.g. Gamma. | ABILITIES & SKILLS | Strong organisational and time management skills with the ability to manage competing demands. Excellent interpersonal and communications skills. Detail oriented individual. Adaptive and resilient, responding positively to changes in deadlines and processes. Excellent team player Ability to work independently and proactively, demonstrating initiative. Planning and coordination (project management) skills. Ability to work to deadlines while having to multi-task with multiple priorities.
