Lymphoedema Clinical Administrative Support

St Margaret's Hospice Care has a fantastic opportunity for a Clinical Administrative Support to join our team.

Your work behind the scenes will play a vital part in enabling our clinical teams to focus on delivering the best possible care.

* Location: Yeovil
* Salary: £10598.19 per annum
* Working pattern: Part time, 15hours per week
* Contract: Permanent

Although based in Yeovil, there may be opportunity to work cross county and occasionally at home. We can also consider flexibility around working pattern and spread across the week.


Main duties of the job

As our Clinical Administrator, you will support our dedicated Lymphoedema team, helping us to provide patient-centred care every day.

Your day-to-day work will include:

* Providing timely responses to scheduling, referral and appointment queries,
* Updating spreadsheets and databases,
* Managing the patient record system,
* Co-ordinating clinics and organising patient appointments,
* Processing orders and invoices.

Job responsibilities

* To respondpromptly, efficiently and professionally to all types of referrals to theservice, dealing with interruptions to planned tasks, and re-prioritising ownworkload at short notice.
* To liaisewith internal and external colleagues in processing referrals and answeringgeneral enquiries regarding access and referrals to the service.
* To promptlyand accurately record and maintain referrals, deaths and discharges on theSystmOne database system. To book appropriate patient appointments accordingto the triage completed by the clinical team.
* To arrangeregular team meetings, booking rooms, preparing agendas, and as neededtaking, writing up and distributing minutes.Contributing to meetings where appropriate.
* To provideadministration support to the wider multi-disciplinary team for the efficientrunning of the service, including processing Lymphoedema requirements, typingof correspondence and documents, organising patient appointments, maintainingstats, booking transport, recording patient phone calls, filing, photocopyingand distribution.
* Orderingand processing of lymphoedema hosiery and consumables, filing, recording andprocessing invoices prior to passing to lead lymphoedema specialist forapproval.
* Cover andsupport the rest of the administrative team with their workloads and absencecover including reception duties. Thismay also include cover in other hospice sites.
* Participatein the orientation and induction of new staff including training inadministration procedures and equipment as required.
* Toidentify, propose, facilitate implementation and maintenance of systems thatimprove and help in the administration of the service and maintain records ofactivity, including the creating, formatting of database/spreadsheets and theretrieval of information that may require some analysis.


Person Specification


Education and Qualifications

* Educated to GCSE (grade A-C/ 9-4) or equivalent, including Maths and English
* Willingness to undertake any courses offered in order to improve knowledge of work of Hospice
* Committed to self-development
* Uses initiative and is resourceful
* Conscientious, reliable and punctual
* Enthusiastic and proactive
* Positive attitude towards equal opportunities and towards working in a multicultural environment


Working with others

* Excellent communication skills, both verbal and written.
* Good interpersonal skills, including negotiation and persuasion
* Shows empathy and presents a calm, caring, courteous and compassionate manner
* Discrete and aware at all times of confidential nature of work
* Deal with routine information requiring tact or persuasive skills
* Able to communicate with a wide range of people including the Multi-Disciplinary Team, District Nurses, Community Clinical Nurse Specialist, patients and distressed relatives
* Previous experience in customer service role
* Ability to deal with patients in sometimes difficult situations

Leading in your area

* Recent office and administrative experience in a busy environment
* Excellent computer skills and good knowledge of Microsoft office software packages including Word and Excel, email and the internet
* Experience of accurate data input
* Knowledge of simple statistical techniques
* Previous experience working in health/social care experience
* Experience of taking minutes at meetings
* Previous experience of order and invoice processing
