Are you an experienced administrator looking to take the next step in your career? We are seeking a proactive and skilled Administrative/Clerical Assistant (Level 3) to join our team and support the delivery of high-quality services across the Directorate.
About The Role
Working under the guidance of a supervisor or manager, you will carry out a range of administrative duties with a limited degree of autonomy. You’ll be responsible for maintaining complex data systems, supporting financial processes, coordinating documentation for grants and funding, and contributing to the smooth running of internal and external communications.
This role also includes supervising trainees, supporting HR processes, and ensuring compliance with data protection and safeguarding procedures. You’ll be expected to attend meetings, take minutes, and contribute to the development of administrative systems and procedures.
Key Responsibilities
* Maintain and update complex records and data systems
* Process invoices, handle petty cash, and reconcile financial records
* Draft correspondence and prepare documentation with accuracy and confidentiality
* Support HR-related tasks and supervise work experience placements
* Coordinate materials for events, seminars, and publications
* Liaise with external contractors and internal teams
* Ensure compliance with health and safety, data protection, and safeguarding policies
About You
We’re looking for someone with:
* Demonstrable office experience, including financial record keeping and administrative system management
* Experience supervising staff or trainees
* NVQ Level 3 or equivalent qualification (or willingness to work towards it)
* Strong ICT skills and the ability to produce high-quality materials
* Excellent communication and customer care skills
