Job Description
THE POSITION:
The Operations Coordinator will provide essential support to our EU NAVLIN Consulting team, ensuring smooth processes and timely execution of key tasks. This role is ideal for an organized, proactive, and detail-oriented individual with an interest in operational efficiency.
The role is home office based, (full-time position), ideally located in Italy, Spain or the UK,and the job holder must be legally eligible to work in the European Union or in the UK
Key Responsibilities:
1. Operational Support:Oversee daily management systems, i.e. recruiting, team development and admin of knowledge managementCoordinate full-cycle recruiting process of consultants and team feedback as team’s liaison to corporate HRSchedule candidate interviews and coordinate with hiring managers, candidates, HR, external recruitersSupport 1-2 job fairs hands-on per yearOrganize training sessions, onboarding, and ~2-4 in person team meetings per yearStreamline and document key processes
2. Administrative Tasks:Manage timesheets, contracting, invoices, and annual timelinesProvide conference scheduling and ad-hoc operational support as needed
3. Governance & Communication:Participate in team meetings and governance activities. Use email and digital tools for transparent communication and activity tracking
4. Continuous Improvement:Drive process optimization and automation to enhance team efficiency
5. Ad-Hoc Support:Assist in other operational tasks as neededSupport cross-functional teams on various projects and initiatives as they arise

Qualifications
QUALIFICATIONS:
The requirements listed below are representative of the experience, education, knowledge, skill and/or abilities required.
10. Bachelor’s Degree or equivalent work experience
11. Proven 2-3 year experience as team coordinator or in a similar role, e.g. Executive Assistant
12. Strong organization, problem-solving and project management skills
13. Excellent written and verbal communication skills
14. Ability to work under pressure, meet deadlines, and multi-task
15. Proficiency in MS Word, Excel, PowerPoint, Outlook, Adobe
16. Previous experience in recruitment or operations preferred
17. Detail-oriented with a focus on efficiency and accuracy
