Overview
The role supports a specialty or group of specialties, coordinating the patient journey from referral through to discharge. It provides an excellent service to patients, relatives and carers and delivers comprehensive administration, booking and appointment services for outpatients, ensuring compliance with waiting time targets. The post is part of the Patient Administration Service and includes cross-cover for other staff to maintain a consistent and effective administration service.
Responsibilities
* Co-ordinate the patient journey for a specialty or group of specialties from referral to discharge as part of a team.
* Provide an excellent service to patients, their relatives and carers.
* Provide a comprehensive administration, booking and appointment service for outpatients and ensure compliance with waiting time targets.
* Work as part of a Patient Administration Service and provide cross-cover for other staff across the Service to maintain a consistent and effective administration service at all times.
* Attend meetings relevant to the role and perform general administrative duties (faxing, filing, photocopying, distribution of mail).
* Manage referrals and arrange outpatient appointments using Electronic Referral System (e-RS) and Patient Administration System (PAS) as applicable; confirm, cancel and change appointments as necessary.
* Communicate effectively with patients regarding appointments via email, phone or letter; arrange translation services when required.
* Ensure all patient administration complies with the Trust’s access policy and national referral to treatment time targets; process clinic changes, cancellations and creations as directed by the Service Manager.
* Answer telephone enquiries in line with Trust Service Standards; maintain accurate records (manual and electronic) and take timely action.
* Maintain data quality standards, keep patient case notes up to date, and utilise paper-light processes where appropriate.
* Provide reception services for patients, capture appointment outcomes, and arrange follow-ups where applicable.
* Register new patients and raise new medical records in the hospital’s patient administration system.
* Monitor appointment attendance, cancellations and DNAs; ensure timely completion of diagnostic tests and follow-up arrangements.
Training and Development / Competencies
* Participate in the induction of new Booking Coordinators and share knowledge of administrative processes.
* Attend mandatory administrative training as outlined by the Trust Mandatory Training Framework.
* Be proficient in the use of all electronic systems and standard operating procedures related to patient data; undertake training if new systems are introduced to maintain competencies.
