Our client based in Cardiff are growing and looking for a new team member to assist and support the Block Management team. This is a varied role where you will be the initial point of contact for internal and third parties, whilst upkeeping records for traceability.
Skills and Abilities:
A background in property is desired, or an understanding and passion for the industry. (From a background working for a conveyancing firm, property/ block management an estate agent or letting agent)
Great telephone manner
IT Skills
The ability to change tasks as needed
Organisation and planning
The ability to prioritise tasks
Good numeracy and literacy skills
The ability to take instruction and turn it into action
Key responsibilities:
Main Role
Provide point of contact with Solicitors in provision of Sales Pack.
Place Insurance on blocks we are company secretary on (ensuring all relevant information is supplied)
Updating Annual Returns and acting as Company Secretary for blocks under management
Coordinating issuance of information
Tracking sales progress and Recording completions of sales by updating systems
Issuing welcome communication to new homeowners
Arranging Block Manager's site inspections as they arise
Be the initial point of contact for all block management issues and liaise with directors and leaseholders when required.
Liaise with contractors and our in-house maintenance team for quotes, to organise works and coordinate access.
Review, complete and action audits on all aspects of block management
Attend AGM's and take minutes as required
Log details of insurance claims and liaise with insurers
Monitor and maintain the compliance register, ensuring that certificates and accreditations are kept up to date and any actions are communicated to the Block Managers.
Produce letters and reports.
Chase service charges and ground rent arrears and taking payments from leaseholders where accounts require additional support
Handle emergency out of hours calls (placed on a rota with other members of the team)
