Overview
Reporting directly to the Managing Director, the Branch Manager is the main point of contact (including responsibility for out of hours emergency cases) for all accounting, property management and maintenance queries from tenants and landlords as well as for contractors and supply chain.
Responsibilities
Creating property adverts and dealing with enquiries, attending viewings and negotiating offers. (Branch Manager will earn 10% commission on negotiated deals).
* Dealing with the creation and administration of all documents relating to properties and tenancies.
* Credit control - ensuring timely receipt of rent and service charges, including:
* invoicing (tenants, suppliers and contractors, issuing invoices, processing payments and filing.
* Reconciling bank transactions and updating systems with rental and service payments and sending reminders / chasing for overdue payments.
* Negotiating and arranging rent reviews / tenancy renewals.
* Dealing with all property maintenance issues from the initial notification of a fault to arranging contractors, obtaining competitive quotes and inspecting works for signoff.
* Approving invoices received for onward payment by the Finance Director.
* Dealing with utility, insurance and service contract renewals.
* Carrying out periodic inspections, inventories, tenant check-ins and check-outs, deposit deduction negotiations.
* Ensuring that all managed properties comply with current legislation (health and safety, EPC's, gas and electrical safety etc).
* Preparing and maintaining annual service charge budgeting and reporting.
* General operations and duties relating to office and running of company.
* Manage the property portfolio to maximise office income, including the retention of properties and clients
* Any other duties required for operation of the company
Key Skills and Qualifications:
* Long term, proven track record and experience as a senior lettings member and senior property manager (commercial property experience would be particularly useful). Min. 5 years of relevant experience required.
* Must have experience of dealing with a wide range of property maintenance/management issues across a range of different types of buildings (apartments, houses etc).
* Excellent written and verbal communication and interpersonal skills.
* Strong Computer & IT skills (especially proficiency in Google Platform Apps/Workspace).
* In-depth knowledge of relevant property legislation.
* Proficiency in property management software.
* A valid driver's license and use of your own car.
