Role Overview
We are seeking a highly organised and proactive Service & Breakdown Coordinator to manage and coordinate all reactive and planned service activities for our fleet of towable welfare units. This key role ensures that any breakdowns or service requests are handled swiftly, engineers are deployed efficiently, and customers receive outstanding communication and support throughout the process.
Key Responsibilities
* Act as the first point of contact for all service calls, breakdowns, and maintenance requests relating to towable welfare units.
* Triage incoming service jobs, assess urgency, and allocate engineers based on location, skills, and availability.
* Coordinate breakdown responses to ensure rapid deployment and minimal downtime for customers.
* Plan and schedule routine servicing, inspections, and preventative maintenance across the fleet.
* Maintain accurate service records, job sheets, and asset histories within the company's service management system.
* Liaise closely with customers, keeping them informed on job progress, ETA updates, and any follow-up requirements.
* Work collaboratively with the transport, workshop, and hire teams to ensure seamless communication and service delivery.
* Monitor service performance KPIs (response times, first-time fix rates, etc.) and contribute to continuous improvement initiatives.
* Support warranty claims and supplier liaison for parts, components, or unit issues when required.
* Assist with invoicing and job closure processes to ensure accurate and timely billing.
Skills & Experience Required
* Proven experience in a service coordination, breakdown management, or scheduling role (ideally within plant hire, welfare unit hire, construction equipment, or a similar industry).
* Strong organisational skills with the ability to prioritise tasks and manage multiple jobs simultaneously.
* Excellent communication and customer service skills, with a confident and professional telephone manner.
* Good geographical knowledge of the UK to plan efficient engineer routes.
* Competent with service management or scheduling software and Microsoft Office (Excel, Outlook, etc.).
* Ability to remain calm under pressure and make quick, effective decisions.
* A team player with a proactive approach and a keen eye for detail.
